Position Summary

The Workforce Grants Support Specialist reports to the Workforce Grants Manager and performs all assigned duties as listed below.

Essential Duties and Responsibilities

  • Assist in monitoring the fiscal and programmatic compliance of all grants and scholarships awarded through the Workforce Development Division to ensure expenditures coincide with the Board of Trustees authorization document.
  • Perform data entry work such as accurately entering information into spreadsheets and forms.
  • Receive, log, and file requests for funding, budgets/budget amendments, and monthly remittance submissions for all projects funded through the workforce development division.
  • Assist with tracking budgets per the associated college grant agreement.
  • Communicate with project and fiscal contacts with emails and phone calls to acquire and send information.
  • Collect and enter performance data to prepare quarterly performance reports and workforce training bulletins.
  • Assist with non-credit banner course code management.
  • Process incoming applications for Short-Term Credential Scholarship applications.
  • Manage Workforce Development Division social media accounts.

SECONDARY JOB DUTIES & RESPONSIBILITIES

  • Generate grant agreements to colleges, create action items, memoranda, and other routine correspondence as needed.
  • Manage and organize office resources, materials, supplies, and equipment.
  • Assist with scheduling and notifying grant recipients of upcoming visits and relevant evaluation criteria.
  • Assemble information packets and help to prepare mail-outs.
  • Operate copy machine; assemble, staple, and/or bind duplicate materials; assemble information packets; and prepare mail-outs.
  • Answer telephone, place appropriate telephone calls, and take messages.
  • Perform other duties as assigned.

Qualifications

REQUIRED

  • AA/AS degree or certification in office administration or related field.
  • Two (2) years of clerical/secretarial work experience.
  • Knowledge of office practices and procedures and ability to apply the same.
  • Skill proficiency in word processing software packages such as Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to prioritize certain tasks and organize time wisely to complete deadlines on time while still delivering quality work.
  • Ability to perform tasks and routine office work separately and independently of constant supervision.

PREFERRED

  1. Five (5) years of clerical/secretarial work experience.

  2. Experience with ERP software such as Banner, Elevate, and/or NetSuite.

  3. Experience with a workflow management application such as Monday.com.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
