Workplace Experience Coordinator
Location: Portland, Maine
Department: Facilities & Property Management
Reports To: Facilities & Property Manager
Schedule: Full-Time | Onsite | Monday–Friday, 7:30 AM–4:30 PM
Position Summary
Join our team and help create an exceptional workplace experience for employees, tenants, and visitors at our Portland headquarters.
The Workplace Experience Coordinator serves as the first point of contact for employees, tenants, visitors, and vendors. This highly visible role supports workplace operations, tenant services, building functions, and the overall experience of everyone who enters the facility.
The ideal candidate is organized, customer-focused, technologically proficient, and takes pride in solving problems, anticipating needs, and delivering exceptional service. This role offers opportunities to grow professionally within workplace operations, facilities management, and property management.
Key Responsibilities
Serve as the primary point of contact for employees, tenants, visitors, vendors, and guests.
Manage the visitor management system and help maintain a welcoming, professional environment.
Coordinate mail, packages, deliveries, access badges, parking requests, and workplace communications.
Manage conference rooms, shared spaces, and common areas, including room setup, furniture configuration, and scheduling support.
Coordinate with vendors and service providers to support daily building operations.
Serve as a liaison between tenants, vendors, and the Facilities & Property Manager.
Monitor building conditions and communicate maintenance, safety, cleanliness, or service concerns.
Maintain records related to visitors, building access, parking, and workplace operations.
Utilize Microsoft 365 and workplace technology platforms to support efficient operations.
Support workplace events, tenant engagement activities, and special projects.
Take ownership of requests and identify opportunities to improve processes and the overall workplace experience.
Qualifications
Education & Experience
High school diploma or equivalent required.
Experience in customer service, hospitality, office administration, workplace services, property management, or a professional office environment preferred.
Multi-tenant office experience is a plus.
Skills & Competencies
Outstanding customer service and communication skills.
Strong organizational skills and attention to detail.
Sound judgment, problem-solving ability, and situational awareness.
Ability to prioritize multiple responsibilities in a fast-paced environment.
Reliable, accountable, and able to work independently.
Professional interacting with employees, executives, tenants, vendors, and visitors.
Comfortable using Microsoft 365 and learning new software systems and technologies.
Work Environment & Physical Requirements
Onsite position located at our Portland, Maine headquarters.
Ability to sit, stand, walk, bend, reach, push, pull, and move throughout a large office environment.
Ability to lift and carry up to 50 pounds.
Ability to move and arrange conference room tables, chairs, and furniture for meetings and events.
Must maintain reliable attendance and a consistent work schedule.
