The Workplace Experience Coordinator is responsible for supporting day-to-day workplace

operations, employee services, visitor experience, facilities coordination, meeting readiness, pantry standards, and local service delivery for the Irvine office.

This role serves as the primary on-site point of contact for workplace services and provides

independent local support while remaining aligned with account-wide service expectations, operational procedures, and company standards.

The Workplace Experience Coordinator is expected to take ownership of the office environment, proactively identify needs, coordinate with vendors and internal partners, and escalate matters requiring additional support or approval. The role helps maintain a professional, welcoming, organized, and hospitality-focused workplace for employees, visitors, and business partners.

Primary Responsibilities

Reception and Visitor Support

Provide professional and welcoming experience for employees, visitors, guests, and business partners. Greet visitors, coordinate arrivals, prepare meeting spaces, maintain reception areas, communicate professionally, and escalate security concerns as needed.

Workplace and Employee Support

Serve as the primary on-site workplace resource, support employees with office needs,

communicate workplace updates, gather feedback, support engagement initiatives, and resolve routine issues independently.

Meeting, Event, and Logistics Coordination

Coordinate meetings, events, room readiness, catering, AV, deliveries, shipping, receiving, and post-event resets while partnering with vendors and internal stakeholders.

Facilities Operations and Maintenance Support

Conduct office walkthroughs, coordinate maintenance, track service requests, oversee vendor follow-up, and maintain employee-facing spaces.

Pantry, Supplies, and Inventory Management

Maintain pantry and office supplies, coordinate reorders, monitor inventory, maintain cleanliness, and follow purchasing controls.

Service Request Coordination

Manage workplace requests, communicate status updates, coordinate resolutions, document activity, and escalate recurring issues.

Vendor and Service Provider Coordination

Coordinate vendors, maintenance, catering, deliveries, property management, and ensure

compliance with site procedures.

Health, Safety, and Compliance

Support safety inspections, emergency preparedness, incident reporting, compliance activities, and workplace security.

Account Alignment and Communication

Maintain consistency with account-wide processes, participate in reporting, communicate office updates, and escalate decisions requiring leadership review.

Skills and Qualifications

Strong hospitality mindset, communication, organization, independent judgment, technology proficiency, vendor coordination, and workplace operations experience preferred.

Reporting Structure

Reports through the account management structure and serves as the primary local workplace contact while partnering with leadership, vendors, property management, and service providers.

Success Metrics

Timely service resolution, workplace readiness, positive stakeholder feedback, effective vendor management, accurate inventory control, safety compliance, proactive issue identification, and strong local ownership.
