Position Purpose:
A Parts Coordinator ensures that all necessary parts are available when needed, thus avoiding potential delays in production or operations.
The role is crucial for minimizing downtime, maximizing productivity, and reducing costs by ensuring the right parts are available when needed.
This position is responsible for maintaining accurate inventory of parts and supplies, and supporting administrative tasks that enable efficient communication, scheduling, and recordkeeping across departments.

Tasks:
Core Responsibilities:

Inventory Management:
Responsible for tracking, monitoring, and managing inventory levels, ensuring that stock is sufficient to meet demand.
Procurement: Order parts from suppliers, negotiate pricing and delivery times, and ensure accurate record-keeping.
Distribution: Handle the distribution of parts to mechanics, technicians, and other internal users, ensuring proper documentation and tracking.
Cost Optimization: Identify opportunities to reduce costs by negotiating with suppliers, optimizing inventory levels, and minimizing waste.
Downtime Reduction: Ensure the timely availability of necessary components to minimize downtime in maintenance and repair operations.
Facilitation of Maintenance and Repair: Play a key role in facilitating the smooth functioning of maintenance and repair activities by ensuring the right parts are available when needed.
Work closely with suppliers, technicians and outside contractors.
Inspect parts for accuracy and quality, ensuring that the right components are received and stored.
Provide administrative support to supervisors, managers and teams, handling tasks such as processing invoices and maintaining records.
Provide regular reports on parts inventory, usage, and any discrepancies to the supervisor/department lead.
In addition to this, the parts coordinator could use CMMS for parts catalog inventory, preferred vendors, supplier sourcing, record keeping, and the easy identification of parts. Additional Responsibilities
The parts coordinator is responsible for ensuring the efficient and effective management of parts inventory and procurement for our production lines. This role involves ordering parts based on mechanics' requests, inventorying in-house parts, checking out parts, and occasionally picking up parts from vendors.
Parts Coordinator ensures that all necessary parts are available when needed.
With the use of technical drawings and equipment diagrams identify parts to order from suppliers, negotiate pricing and delivery times, and ensure accurate record-keeping.
Optimal identification of parts to be ordered using measuring tapes, calipers, gauges, thread gauges, hose and fittings sizers etc. Responsible for tracking, monitoring, and managing inventory levels, ensuring that stock is sufficient to meet demand.
Responsible for sending parts for repairs, adjustments, calibrations etc.
Responsible for the distribution of parts to mechanics, technicians, and other internal users, ensuring proper monitoring of min/max levels.
Managing inventory levels in production floor cabinets.
Handling and controlling power tools.
Handling and controlling machine shop supplies.
Implementation of organizational systems for the rapid identification of supplies and items of immediate need. Performs other duties as assigned.

Requirements:
Education/ Certifications (Required & Preferred):
High School Diploma/GED and/or equivalent related experience.

Experience:
13 years of experience in parts coordination, administrative support, or production planning in a manufacturing or industrial environment.

Knowledge/Skills/ Abilities:
Strong organizational and time-management skills with high attention to detail.
Proficient in Microsoft Excel, Word, and inventory or maintenance management systems (e.g., CMMS, ERP).
Effective communication skills with the ability to work across teams.
Basic understanding of manufacturing processes, preventive maintenance, and inventory principles.
Good judgment is required for this position as there may be times when direct supervision may not be immediately available.

This position requires the candidate to perform all duties at one of the client locations, such as a distribution center or office.
