1 JOB TITLE Administrative Assistant DEPARTMENT Youth Services LOCATION 313 Gale St . Aurora IL 60506 REPORTS TO Director of Community Services POSITION DETAILS Non -exempt Full-time Hourly HOURS Monday -Friday flexible for Saturdays Hours TBD for summerschool schedule LAST REVISED July 2026 Summary Under the direction and supervision of the Aurora Township Director of Community Services the Administrative Assistant is responsible for administrative work facility reception duties and greeting and facilitating all visitors to the Aurora Township Youth & Community Center. Minimum Qualifications Education Minimum high school diploma completion of administrative -related training or some college coursework in business administration or related discipline preferred Experience 2-4 years of administrative experience experience working in a similar position or sufficient combination of education and experience Principal Duties • Answer telephone calls take messages and forward messages on behalf of the Youth Services department • Screen Youth & Community Center guests going through security system • Distribute and collect program applications for various youth programs and collectrecord program fees • Perform filing copying maint enance of an events calendar and other administrative tasks on behalf of the Youth Services department • Assist in the creation and distribution of marketing materials for the Youth & Community Center • Complete data entry for all Youth Services program participants including demographic data • Enter employee hourly payroll and other data into spreadsheets databases and word processing software • Send receive direct and create correspondence for the Youth & Community Center as assigned by the Director of Community Services • Schedule appointments for visitors to the Youth & Community Center as needed • Serve as initial point of contact for all visitors to the Youth & Community Center • Troubleshoot inquiries on behalf of the Youth Services department and forward inquiries to appropriate staff members • Attend all staff meetings and participate in staff development and program evaluation • Perform other duties as assigned by the Director of Community Services appropriate to the title and function of the position as well as the overall needs of Youth Services department operations 2 Skills Abilities and Experience • Proficient in Microsoft Office • Must be an independent worker and self -starter • Ability to communicate and interact in a professional manner • Must be flexible and adaptable to Youth Services department needs • Must demonstrate ethical behavior and teamwork by cooperating working and communicating with staff members youth parents and community members • Ability to complet e projects and tasks within deadlines • Bilingual in Spanish a plus • Certified for infantchild and adult CPR First Aid and AED a plus • Must have valid current drivers license and ability to drive some Township vehicles • Requires ability to pass an in -depth criminal background and drug screen Physical and Mental Requirements The physical demands herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.
