This role ensures accurate and timely recording of revenue, maintains balance sheet integrity, and supports cash management and financial operations across all Teton Science Schools programs.This position plays a key role in maintaining financial accuracy, supporting program operations, and delivering excellent service to both internal stakeholders and external constituents.<h2>Key Responsibilities</h2><h3>1. Accounts Receivable & Billing</h3><ul><li>Manage collection of tuition payments and course deposits across all TSS programs</li><li>Generate and distribute invoices (annual, semi-annual, and monthly) for Mountain Academy and Graduate programs</li><li>Administer ACH payment processes and track incoming payments</li><li>Record tuition and program payments accurately and in a timely manner</li><li>Partner with Admissions and program teams to support deposits and payment plans</li><li>Manage receivables and cash entries for point-of-sale systems (e.g., MySchoolBucks)</li><li>Support program teams in collecting payments for various offerings</li><li>Track and reconcile outstanding balances using monthly rollforward reporting</li><li>Support Salesforce integrations and troubleshoot issues in partnership with senior finance staff</li><li>Perform month-end close processes for program areas (e.g., Wildlife Expeditions)</li><li>Ensure timely and accurate revenue recognition for Field Education and other programs</li></ul><h3>2. Collections Management</h3><ul><li>Develop, document, and maintain standardized collections processes and procedures</li><li>Create and distribute collections reporting across departments</li><li>Communicate overdue balances and collaborate with department leaders on collection strategies</li><li>Execute collection activities, including outreach, payment follow-ups, and escalation</li><li>Apply late fees and manage delinquent accounts in accordance with policy</li></ul><h3>3. Cash Management & Reconciliation</h3><ul><li>Record all credit card batches and bank deposits accurately</li><li>Prepare and post journal entries to support monthly close</li><li>Complete monthly bank and account reconciliations</li><li>Assist with preparation and execution of the annual financial audit</li></ul><h3>4. Development & Donations Support</h3><ul><li>Record donation gifts in Salesforce and Intacct</li><li>Manage non-integrated donations (e.g., parent council dues, stock gifts)</li><li>Reconcile donation records between systems to ensure accuracy and completeness</li><li>Collaborate with Development and Finance teams to maintain alignment across platforms</li></ul><h3>5. One TSS Responsibilities</h3><ul><li>Collaborate across program areas to support organizational success</li><li>Cross-promote TSS programs when appropriate</li><li>Contribute to a culture of inclusion, equity, and belonging through ongoing development of cultural competency</li><li>Support organizational initiatives and continuous improvement efforts</li></ul><h2>Qualifications</h2><ul><li>Minimum of 4 years of accounting or finance experience (nonprofit experience preferred)</li><li>Strong understanding of general accounting principles; nonprofit accounting knowledge a plus</li><li>Proficiency with accounting systems (e.g., Intacct), Salesforce, Excel, and Google Workspace</li><li>Strong attention to detail and ability to manage multiple priorities simultaneously</li><li>Excellent communication and customer service skills</li><li>Ability to work collaboratively with both internal teams and external stakeholders</li></ul><h2>Working Conditions & Physical Requirements</h2><ul><li>Primarily office-based role with extended periods of sitting and computer use</li><li>Ability to communicate effectively via phone, email, and in person</li><li>Ability to sit or stand at a desk for extended periods (up to 8 hours)</li><li>Occasional interaction across multiple TSS campuses</li></ul><h2>Additional Notes</h2>This job description is intended to describe the general nature and level of work performed. The base salary range for this role is $65,000-$80,000.
