This position is responsible for reviewing time submissions from the field, ensuring consistency with customer time tracking software (MyTrack), and timely billing consistent with customer contracts and supporting documentation. Our services include specialty trades (insulation, fireproofing, painting/coatings, scaffolding & heat tracing) in addition to our mechanical and civil capabilities.  Position Overview:The Billing Specialist is a critical role supporting branch operations by ensuring accurate, compliant time tracking and consistent billing. This position is responsible for reviewing time submissions from the field, ensuring consistency with customer time tracking software (MyTrack), and timely billing consistent with customer contracts and supporting documentation. These duties include (but are not limited to) preparing customer invoices, coordinating closely with project teams, ensuring customer alignment, and quickly resolving billing disputes. The ideal candidate is detail‑oriented, organized, and experienced in contract‑based or project billing within a fast‑paced construction or industrial services environment. Key Duties and Responsibilities: <ul><li>Review time submitted from field supervision for all crafts and raising flags where totals are not consistent with expected/allowed durations</li><li>Allocating time within MyTrack to appropriate Purchase Orders/Work Orders</li><li>Ensuring alignment with customer Accounts Payable to preempt approval/payment issues</li><li>Prepare, review, and process accurate billing submissions</li><li>Analyze contracts, purchase orders, and agreements to determine billing requirements (labor rates, materials, markups, and supporting documentation)</li><li>Develop and utilize billing checklists and financial reports to ensure accuracy and timely submission</li><li>Coordinate invoice dates and resolve discrepancies with internal and external teams</li><li>Partner with collections team to support accounts receivable efforts</li><li>Verify labor, equipment, material, and subcontract cost documentation prior to billing</li><li>Track invoice status, including approvals, submissions, rejections, and resubmissions</li><li>Facilitate courteous and professional collections where necessary</li></ul> The above description covers the principal duties and responsibilities of the job. The description shall not, however, be construed as a complete listing of all miscellaneous, incidental or similar duties which may be required from day to day. Applicable Experience & Competencies:<ul><li>3+ years of billing experience, preferably supporting government and/or contract based billing</li><li>Strong understanding of contract review, timekeeping data, and invoice documentation</li><li>Excellent attention to detail with strong analytical and problem-solving skills</li><li>Effective communication and interpersonal skills</li><li>Ability to work independently and manage multiple deadlines</li><li>Proficiency in Microsoft Office Suite (Excel, Word, Outlook)</li><li style="line-height:15pt">Experience with Sage, Sage 100 Contractor, Procore, MyTrack, or similar project accounting systems preferred</li><li style="line-height:15pt">Strong understanding of job costing, budgets, and labor tracking</li><li style="line-height:15pt">Cost tracking experience preferred</li><li style="line-height:15pt">Associates degree (or equivalent) preferred but not required</li></ul> Physical Requirements:<ul><li>Ability to stand or sit for long periods of time.</li><li>Must be physically able to walk to yard and warehouse to assist with inventory.</li></ul>  All new hires are contingent on the passing of a background check and pre-employment drug screening. <ul><li style="margin-bottom:0in">Responsible for directing the overall operations and staff of the Finance department in the following areas (list: AP/Payroll, GL, Accounting, Count Room, Warehouse, Purchasing, etc).  Develops, implements and manages operational goals and monitors achievements of performance and profit objectives.</li><li style="margin-bottom:0in">Ensures that scheduling is done in an effective and efficient manner, while maintaining labor costs, meeting staffing objectives and achieving deadlines.</li><li style="margin-bottom:0in">Responsible for assisting in preparing, monitoring and adhering to budgets and ensuring compliance to departmental budget initiatives.
