HHM Talent is assisting a client search for an Administrative Manager for a non-profit in Chattanooga, TN.<hr/>Position OverviewThis is a contract, hourly position expected to work approximately 60-80 hours per month, with compensation ranging from $20-$40 per hour based on experience and qualifications.The Administrative Manager will be responsible for administrative coordination, donor record management, bookkeeping support, grant administration, and fundraising event logistics.<hr/>Key Responsibilities<ul><li>Maintain accurate and current donor records, giving history, and contact information</li><li>Update donor and email databases for outreach campaigns and communications</li><li>Track donations received through credit card, check, cash, Stripe, and internal donor systems</li><li>Prepare and send donor acknowledgments and tax donation letters</li><li>Organize donor files and maintain documentation related to donor activity</li><li>Reconcile accounts monthly and resolve discrepancies</li><li>Ensure vendor invoices are paid accurately and on time</li><li>Assist with year-end 1099 preparation and reporting</li><li>Track expenses and payments related to events, grants, and foundation activities</li><li>Assist with grant fund administration and tracking</li><li>Prepare grantee acceptance and rejection letters</li><li>Maintain accurate grant files, reporting schedules, and annual grantee reports</li><li>Manage registrations and entries for fundraising events</li><li>Coordinate event logistics, timelines, and vendor communication</li><li>Apply for and manage licenses required for special events</li><li>Track event budgets, expenses, payments, and supporting documentation</li></ul><hr/>Qualifications<ul><li>Experience in administrative support, bookkeeping, office management, or nonprofit operations</li><li>Comfortable learning and using systems such as QuickBooks, Salesforce, OneCause, Stripe, and donor management platforms</li><li>Strong written and verbal communication skills</li><li>Ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously</li><li>Proficiency with Microsoft Office and/or Google Workspace</li></ul>Preferred Qualifications<ul><li>Experience with donor databases, grant administration, or fundraising event coordination</li><li>Familiarity with Salesforce, QuickBooks, OneCause, and Stripe</li><li>Prior experience supporting a nonprofit or mission-driven organization</li></ul>

About this Role:
The Senior Project Manager at Service Electric Company is responsible for the supervising, directing and coordinating the construction and associated project management of electric utility construction projects. The Project Manager acts as the single point of management responsibility from project pre-planning to total construction administration services, participating in the development of processes, procedures, and systems to deliver projects to our customers on schedule and within budget. The Senior Project Manager manages the day-to-day duties of Project Managers and Assistant Project Managers. 

What You'll Do:
Project Planning and Coordination <ul><li>Create and approve project plans, schedules, purchase orders and sub-contracts.</li><li>Coordinate and approve subcontractor and vendor resources.</li><li>Work with Project Managers and sub-contractors to establish contracts and coordinate resources and billing. </li><li>Ensure adherence to quality standards, safety protocols, and regulatory requirements across all projects by team members and subcontractors.</li><li>Coordinate with field leadership, Estimating, Safety, and other departments to ensure the successful completion of projects. </li></ul>Budgeting and Cost Control<ul><li>Develop and approve project forecasting for regional construction projects, ensuring profitability and cost-effectiveness.</li><li>Establish and approve project budgets, invoicing, revenue and cost accrual, and creation of project timesheets.</li><li>Track project expenditures and project changes. </li></ul><ul><li>Track, verify, approve, and code subcontractor and vendor invoicing. </li><li>Work with Accounts Payable and Receivables on monthly revenue and cost accruals.</li><li>Manage and approve change order pricing and submission.</li><li>Monitor and control indirect costs. </li></ul>Documentation and Reporting<ul><li>Prepare and approve reports, including cost reports and regional financial reports. </li><li>Review and approve internal and external reports including project budgeting, project cash flow forecast, and project status reports.</li><li>Analyze reports to identify potential and actual risks and make recommendations and decisions. </li><li>Oversee and communicate risk registers.</li></ul>Project Execution and Management<ul><li>Manage all aspects of project execution (scope, schedule, safety, subcontracts).</li><li>Ensure adherence to quality standards, safety protocols, and regulatory requirements across all projects by team members and subcontractors. </li><li>Monitor project progress, identify issues and delays, and implement actions. </li><li>Meet with Field Leadership to develop work plans and review performance.</li><li>Create and archive projects in YARDZ - coordinate with Fleet Managers to maintain accuracy.</li><li>Closeout completed projects (final invoicing, lessons learned, close-out subcontracts/PO's).</li></ul>Customer Relationship Management<ul><li>Act as a primary point of contact for the customer. </li><li>Collaborate with customers to identify opportunities for additional services.</li><li>Review contracts and make recommendations to Executive Management. </li></ul>Team Leadership and Development<ul><li>Perform site visits to meet and collaborate with crews and field leadership.</li><li>Manage, develop, and mentor Project Coordinators and Project Managers promoting a culture of accountability, teamwork, and excellence.</li></ul>

What You'll Bring:
<ul><li>Bachelor's degree in Construction Management, Engineering, or related field or equivalent knowledge or skills obtained through a combination of education, training, and experience.</li><li>7+ Years of estimating experience in the electrical construction field.</li><li>Previous management experience.</li><li>Strong experience in Microsoft Office, specifically Excel.</li><li>PMP certification, in good standing</li><li>Organized with a strong attention to detail.</li><li>Strong ability to identify and solve issues.</li><li>Excellent analytical and problem-solving skills.</li><li>Strong written and verbal communication skills.</li><li>Strong interpersonal and customer service skills.</li><li>Self-motivated.</li><li>Excellent project management skills, capable of handling multiple projects concurrently with good time management.</li><li>Ability to build and foster relationships with team members.</li><li>Ability to maintain confidentiality.</li><li>Ability to conducts self in an appropriate manner as a representative of SEC, working effectively in a diverse work environment.</li></ul>
