You can juggle many different tasks while helping keep management organized. You're comfortable working in a quickly changing environment at a growing startup and youlook forward to learning quickly. You are comfortable working with all levels of management. You will report to the Director of Operations, but you will work with the team to manage and execute on every-day tasks as well as ad hoc projects. You will be instrumental in ensuring the smooth flow of the day-to-day office operations. We will count on you to provide an excellent level of service in the areas of operations, staff cohesion, and external partner relationships. Preferred Work Experience 3+ years experience in an administrative or office support roleEducation Bachelor's degree preferred Computer Skills Proficient with Microsoft Office 365  and willing and able to learn new programs as needed. Microsoft Publisher, a plus. Responsibilities <ul><li style="list-style-type:disc">Coordinate Onboarding efforts, follow up to ensure tasks are completed with appropriate staff.</li><li style="list-style-type:disc">Coordinate job postings as needed</li><li style="list-style-type:disc">Assist with scheduling Board of Directors meetings on a quarterly basis.</li><li style="list-style-type:disc">Manage office and relationships for ad-hoc facility-related touch points such as liaison with building management for visits from external parties. </li><li style="list-style-type:disc">Order catering for the office, which includes planning, pick up, set up, and/or clean up when needed.</li><li style="list-style-type:disc">Monitor and order office supplies.</li><li style="list-style-type:disc">Assist with planning company events.</li><li style="list-style-type:disc">Create content and design monthly company newsletter.</li><li style="list-style-type:disc">Arrange for guest passes with building management, greet, welcome and direct all visitors appropriately. </li><li style="list-style-type:disc">Arrange travel and hotel accommodations as requested.</li><li style="list-style-type:disc">Exercise judgment to prioritize urgent requests and needs.</li><li style="list-style-type:disc">Manage urgent, sensitive, and confidential issues with discretion and integrity.</li><li style="list-style-type:disc">Handle ad hoc projects, administrative tasks, and responsibilities as assigned.</li><li style="list-style-type:disc">Help make the company a more enjoyable place to work while becoming more efficient as we grow. </li><li style="list-style-type:disc">Other related duties as needed. </li></ul>Location: Rochester, NY. This SkillBridge opportunity is designed for transitioning service members seeking hands-on experience in business operations and client-facing compliance. The Business Operations & Compliance Manager plays a dual role: supporting the organization's financial administration while conducting client site visits to ensure service delivery meets safety and regulatory standards. 
This is a unique opportunity to apply military experience in logistics, operations, or safety management within a dynamic, mission-driven civilian organization. The position offers a strong pathway to leadership in business operations, compliance, or risk management following successful completion of the internship. Key Responsibilities 
Financial & Administrative Operations 
<ul><li>Maintain accurate financial records using QuickBooks Online, including accounts payable, receivable, and journal entries.</li><li>Prepare and issue client invoices, monitor receivables, and follow up on outstanding accounts.</li><li>Reconcile bank statements and assist with monthly financial reporting.</li><li>Support payroll processes, employee time tracking, and expense reconciliation.</li><li>Assist with audit preparation and ensure proper financial documentation is maintained.</li><li>Recommend and implement improvements to financial and administrative workflows.</li></ul> 
Safety & Compliance Oversight
<ul><li>Conduct on-site safety and risk assessments at client locations to ensure service delivery aligns with safety regulations and quality standards.</li><li>Monitor staff adherence to client-specific protocols and contract compliance requirements.</li><li>Serve as a liaison with clients on matters of safety, risk mitigation, and incident response.</li><li>Document findings and prepare compliance reports for both internal and client-facing use.</li><li>Support investigations of safety-related incidents at client sites and help implement corrective actions.</li><li>Assist in developing and delivering client-facing safety education materials and compliance checklists.</li><li>Stay informed on industry-specific safety standards and communicate relevant updates that may impact client operations or field service delivery.</li></ul> Qualifications<ul><li>Currently serving in the U.S. Military and approved for participation in the DoD SkillBridge Program.</li><li>Associate’s or Bachelor’s degree (or military-equivalent experience) in:
	<ul><li>Accounting, Business Management, and/or Finance</li></ul></li><li>Experience using QuickBooks or similar accounting platforms.</li><li>Proficiency in Microsoft Office Suite, particularly Excel.</li><li>Strong communication skills and ability to work across teams and client sites.</li><li>Comfortable managing both administrative tasks and field-based responsibilities.</li></ul> Preferred Qualifications<ul><li>Background in construction, industrial safety, or field operations (e.g., Safety NCO, Facilities Manager, Logistics Supervisor).</li><li>Familiarity with OSHA standards, client contract compliance, and incident response procedures.</li><li>Safety certifications such as OSHA 10/30, CPR/First Aid, or equivalent military safety training.</li><li>Experience engaging with external stakeholders or clients on compliance or risk management topics.</li></ul> Career Track
