We're looking for a Payroll Specialist I to serve as the primary payroll partner for a portfolio of Hawaii-based businesses. This is not a back-office processing role — it's a client-facing service position where getting the details exactly right and making clients feel genuinely supported are equally part of the job.Every business we serve depends on us to get payroll right, on time, every cycle. The Payroll Specialist I is the first line of that trust — and the person who thrives here takes that responsibility personally.IN THIS ROLE YOU WILL<ul><li>Process accurate, timely payroll for a portfolio of Hawaii-based clients across multiple cycles and pay frequencies</li><li>Serve as the primary point of contact for your client portfolio — responding to inquiries within 4 business hours and keeping clients informed throughout</li><li>Identify and resolve payroll discrepancies before they reach the client, maintaining a 99.5%+ accuracy rate</li><li>Manage competing priorities and strict deadlines across multiple client accounts simultaneously without sacrificing quality</li><li>Document cases clearly, meet SLA milestone targets, and maintain clean records across systems</li><li>Communicate complex payroll matters in plain, professional language that clients can act on</li></ul><hr/>WHAT YOU'LL BRING TO THE TEAMWe're looking for someone with a strong service foundation, high personal accountability, and the organizational discipline to manage a busy client portfolio without things slipping. No prior payroll experience required — we'll train you on the technical content.<ul><li>You have a track record of accuracy in a fast-paced, client-facing or transactional role. Banking, financial services, benefits administration, or similar environments where getting numbers right and keeping clients informed were non-negotiable daily expectations.</li><li>You communicate proactively — before clients have to follow up. You don't wait to be asked where things stand. You keep clients informed, set realistic expectations, and follow through on what you said you'd do.</li><li>You manage competing priorities without losing track of the details. Multiple clients, multiple deadlines, multiple systems — you stay organized, work ahead of due dates, and catch your own errors before they become someone else's problem.</li><li>You're adaptable and pick up new systems quickly. You're comfortable working across multiple platforms simultaneously and don't need everything to be familiar before you can perform well.</li><li>You take ownership of your results — the good ones and the ones that didn't go as planned. Payroll errors have real consequences for real people — and clients notice both when things go wrong and when they go right. The expectation here is that you stay ahead of your queue, communicate before clients have to ask, and treat every payroll cycle as a commitment you personally stand behind.It's also worth knowing that prior payroll experience isn't required. What matters more is a track record of accuracy under pressure, comfort with financial transactions and compliance logic, and a genuine desire to learn a new domain at a high standard. If you've worked in banking, financial services, or any environment where precision and direct client accountability were daily expectations, this role could be the right fit.<hr/>WORK LOCATIONWe welcome applications from candidates based in Hawaii, who would work a hybrid schedule (in-office Tuesday–Thursday, option for remote Monday & Friday), as well as fully remote candidates based on the US Mainland. Essential Duties and Responsibilities: - Process manual timecards and worksheets to insure accurate and timely running of union and non-union payroll. - Perform payroll duties requiring knowledge of standard practices used in the preparation, distribution, and maintenance of payroll and payroll records. - Ensure that all payroll transactions are processed timely and accurately. - Prepare special payments, complex pay and payroll deduction calculations ensuring compliance with company policies, union contracts and federal and state regulations. - Review payroll documents for compliance with policies and procedures. - Verify accuracy of data entry and computations of withholding tax, deductions, and overtime compensation. - Identify, research, and assist in the resolution of payroll related discrepancies. - Stay current on regulatory, legal, and other payroll developments to foresee and/or address payroll initiatives and issues. - Research and effectively communicate, both verbally and in writing, with employees and departments. - Accurately calculate and process union retro payments as required. - Ensure records are maintained according to record retention requirements. - Prepare stop payments, void checks, direct deposit reversals and overpayment collections in accordance with company, federal, state and union regulations. - Ensure accuracy of payroll records by maintaining database with updates in status changes, tax withholdings, benefits deductions, time off accruals, etc. - Answering employees questions and concerns regarding payroll. - Entering employee information and payroll data into the system. - Prepare monthly union reports. - Review employee time information from timekeeping system for accuracy and completeness and follow up on missing or unapproved timesheets. - Provide support to the HR team with various tasks as needed Qualification/ Requirements: Strong organizational skills and attention to detail. Effective communications skills, in writing and verbally. Ability to monitor strict deadlines and plan, coordinate and execute assignments. Proficient in Microsoft Office or similar software with the ability to learn new or updated software. Knowledge of Microsoft Excel. Ability to work independently and follow directions. Ability to analyze and interpret data. High level of confidentiality required. SAGE 300 experience preferred. Data entry, payroll processing, clerical experience. Understanding and working knowledge of payroll processes and systems, preferably in a unio environment. Knowledge of state and federal payroll regulations.
