Titles: Executive Secretaries and Administrative Assistants Duration:  Contract Location: Buffalo, NY (14203) Shift Timings: Mon-Fri (4hrs per day) Pay: USD 20/hr – USD 24/hr Position summary: 
Provides administrative and operational support in a fast-paced office environment by managing communications, coordinating meetings, maintaining filing systems, and handling correspondence. Ensures efficient daily operations, supports senior staff, and manages multiple priorities while maintaining accuracy, organization, and professionalism. 
  Key Responsibilities:<ul><li>Answers phone calls concerning policy or procedure and directing them to appropriate staff, setting up and coordinating meetings for senior staff.</li><li>Receive and process mail, fax documents and photocopying as needed.</li><li>Maintain paper and electronic filing systems, prepares letters and closes incident and complaint reports.</li><li>Daily office operational functions as needed by senior management, ad hoc assignments if priorities change, orient other support staff if needed.</li><li>Candidates should be dependable, detail-oriented, and highly motivated individuals able to work in a fast-paced, high-volume office environment. The successful candidate should be willing and able to multitask and move from assignment to assignment as deadlines and priorities change.</li><li>Have knowledge of office administration and management; proper grammar, punctuation and spelling; business communications and ability to take notes is necessary. </li></ul>Minimum Qualifications:<ul><li>Minimum of 2 years’ experience working for the New York State Department of Health</li><li>High school diploma (or equivalent).</li><li>Two-year minimum experience working in a professional office setting.</li><li>Excellent working knowledge of Microsoft Office (specifically Word, SharePoint and Excel).</li><li>The ability to enter data into, and extract data from, electronic databases.</li><li>The ability to work independently and on a team with different personalities.</li><li>The ability to handle multiple, shifting priorities, good organizational skills, including an ability to organize information into reports. </li></ul>Preferred Qualification:<ul><li>Bachelor’s degree</li><li>Certification in Microsoft Office products</li><li>Previous experience with the Statewide Financial System</li><li>Familiarity and knowledge of the Health Commerce System (HCS)</li><li>Experience with various DOH platform software</li><li>Knowledge and experience with computer information systems and computer programming.</li></ul>

One to two years of long-term care pharmacy data entry experience, with an understanding of Medicare, Medicaid, third party insurance and private pay.

Qualified candidates must have the ability to work in a fast-paced environment.General DescriptionUnder the direction of the Pharmacy Billing Manager, the Pharmacy Reconciliation Clerk is responsible for 835 electronic downloading of pharmacy cash receipts for supported long-term care pharmacy posting to include third party, retail & Medicaid cash receipt. Includes analyzing payment discrepancies to point of resolution.Essential Duties1. Accurate processing of electronic 835 pharmacy cash receipts.2. Posting of third-party remittance advices to include reconciliation.3. Downloading & balancing retail payments to the pharmacy QS1 computer system4. Troubleshoot and resolve long-term care pharmacy charges to reimbursement.5. Research/reconcile all third-party insurance discrepancies with timely results.6. Responsible to meet daily/weekly/month end deadlines.Other DutiesPerform tasks which are supportive in nature to the essential functions of the job, but which may be altered or redesigned depending upon individual circumstances. Performs other work duties, special projects as assigned.Qualifications:Education/Training: 10 key data entry. Proficient with Microsoft Excel, Word and Outlook.Skill(s):<ul><li>1+ year data entry experience or A/R experience</li><li>advanced mathematical skills to include previous reconciliation work.</li><li>Excellent communication and problem-solving skills</li><li>Ability to create and edit Excel spreadsheets</li><li>Excellent organizational skills</li><li>Basic understanding of accounting methods</li><li>Ability to meet daily/weekly/month end deadline.</li></ul>Experience:<ul><li>One year of alpha-numeric data entry experience, focusing on 3rd party cash posting and reconciliation.</li><li>One to two years of long-term care pharmacy data entry experience, with an understanding of Medicare, Medicaid, third party insurance and private pay.</li><li>Knowledge/experience in pharmacy receivables.</li><li>Knowledge of electronic claims submission on pharmacy billing system, with QS-1 is a plus.</li></ul>EEO/R/G/V/D
