<h4>Major/Essential Functions</h4><ul><li>Supports the WHiP Director by performing administrative duties related to planning, directing and coordinating all administrative aspects of the program as requested. Including meetings, events, catering and annual reports. Send invoices to WHiP members, submit forms to Accounting Services for distribution of funds.</li><li>Research, develop and present ideas for 1) increased recruitment to reach a multi-faceted population of PhD students. 2) outreach and recruitment of new Industry Partners, communications to current Industry Partners and contribute to the overall success of the Center. 3) Prepare creative and informative multi-media promotional materials including a new or revised video, brochures, promotional slides, etc.</li><li>Develop and maintain website for WHIP and NWI. Maintain and update the content of the WiSE PhD program web page on the NWI web site. Maintain the LinkedIn page for WHIP. Other websites may be developed and</li><li>maintained based on current needs. Websites are to be updated with detailed, accurate and current information as frequently as needed or requested. Update photos and news as needed.</li><li>Provide assistance for the organization of the WiSE PhD program seminars. Keep the contact information of alumni of the program up to date to the best possible extent. Assist with PhD student progress per policies and requirements as needed. Assist with hiring processes for PhD students and others as needed.</li><li>Process Travel requests (excluding hurricane deployments) in Chrome River for staff, faculty, students and group travel. Process travel, secure the venue and catering or refreshments for the McDonald Mehta Lectures. Upload all supporting documentation as required. Maintain travel files. Serve as backup for BSRE.</li><li>Prepare and submit requisitions for Purchase Orders for NWI (excluding IT and Reese Center). Process invoices for payments to vendors in TechBuy. Maintain Purchasing / Purchase Order files including any back-up information or documents. Contact vendors for quotes or updates. Set up new vendors as needed. Serve as backup for BSRE.</li><li>Process the monthly Voyager statements ensuring deadlines are met and appropriate funding is used.</li><li>Process Physical Plant Requests for building maintenance and project orders. Maintain calendar requests for conference room 107 and 201. Process key requests.</li><li>Back up administrative support for the SB5 Flood Project including planning and executing events, purchasing, travel arrangements and other needed support functions that arise meeting all deadlines.</li><li>Complete the annual Campus Guard compliance audit.</li></ul> Grant Funded?
