Volunteer Engagement Coordinator

This includes creating systems and procedures that ensure ministry and team preparedness for all Woodland Kids programming this includes managing volunteer teams (Onboarding, Scheduling, and Communication) and serving as a support lead in our Kids Ministry environments. Responsible for overseeing Check In stations and associated volunteers - making sure all stations are functioning properly and team members are trained and prepared to assist incoming families.

Role Expectation: Woodland Kids Volunteer Coordinator is to provide support to the Woodland Kids Director and the associated ministry. This includes creating systems and procedures that ensure ministry and team preparedness for all Woodland Kids programming this includes managing volunteer teams (Onboarding, Scheduling, and Communication) and serving as a support lead in our Kids Ministry environments. This position will work closely in collaboration with the Kids Ministry Director, Curriculum Coordinator and related volunteer teams. Hours Expectations* - Total of 16 Hours per week <ul><li>Monday - OFF </li><li>Tuesday - OFF </li><li>Wednesday - 9:00am - 3:00pm </li><li>Thursday - 9:00am - 3:00pm </li><li>Friday - OFF </li><li>Saturday - OFF </li><li>Sunday - 8:00am - 12:00pm </li></ul>Roles and Responsibilities <ul><li>Volunteer Management </li></ul><ul><li><ul><li>Responsible for keeping up to date profile information for all volunteers and kids at the Battle Creek Campus. </li><li>Responsible for proactively scheduling, confirming, and resourcing volunteers to ensure proper personnel coverage throughout all Kids Ministry rooms on Sunday mornings. </li><li>Responsible for facilitating recruiting and onboarding processes to help every volunteer feel empowered and encouraged to serve to their fullest. </li><li>Responsible for coordinating semi annual team trainings to help equip volunteers and team members with the latest safety and health practices to implement within the ministry environments. </li></ul></li></ul><ul><li>Sunday Morning Support </li></ul><ul><li><ul><li>Responsible for overseeing Check In stations and associated volunteers - making sure all stations are functioning properly and team members are trained and prepared to assist incoming families. </li><li>Responsible for serving as a "Floor Leader" for an area of the Woodland Kids ministry on Sunday Mornings. </li><li>Serving as an on call support to any ministry need that may arise. </li><li>Responsible for setting up Volunteer Hospitality space ensuring that all necessary furniture, snacks, and resources are staged appropriately before volunteers arrive. </li></ul></li></ul><ul><li>Team Communication </li></ul><ul><li><ul><li>Curation and distribution of a monthly newsletter to all volunteers in the Woodland Kids Ministry </li><li>Curation and distribution of a weekly service run down email to scheduled volunteers. </li><li>Assist with PCO Event Registration Creation and Management </li><li>Draft various training materials and manuals for volunteers and rooms. </li></ul></li></ul><ul><li>Hospitality Expectations </li></ul><ul><li><ul><li>Maintain a proactive positive and helpful attitude in the office or on weekends with staff, volunteers, and attenders in the ministry environments. </li><li>Greet volunteers as they enter the office area, and ensure cleanliness of work environments. </li><li>Provide helpful and attentive service to congregants as they have questions or need assistance. </li></ul></li></ul> In summary, the Woodland Kids Administrative Assistant wins when; <ul><li>We consistently demonstrate strong communication and administrative effectiveness in our scheduling and confirmation practices with volunteers. </li></ul><ul><li>We consistently show excellence in our ability to communicate and resource parents and volunteers with timely updates, helpful resources and important service and event details. </li></ul><ul><li>We consistently maintain and improve our recruitment, onboarding, and training processes to result in a growing team both in numbers and in preparedness. </li></ul>
