Overview: The Executive Assistant provides high-level administrative and professional support to the Senior Vice President of Supply Chain Services (SCS) and the SCS Executive Leadership team. This role requires strong organizational and clerical expertise, along with comprehensive knowledge of the health system, community hospitals, executive offices, and departments reporting to SCS leadership.

Overview:
<p>The Executive Assistant provides high-level administrative and professional support to the Senior Vice President of Supply Chain Services (SCS) and the SCS Executive Leadership team. This role requires strong organizational and clerical expertise, along with comprehensive knowledge of the health system, community hospitals, executive offices, and departments reporting to SCS leadership.</p><p> </p><p>The Executive Assistant exercises independent judgment and problem-solving skills to manage a wide range of responsibilities, including planning, initiating, and implementing administrative activities. The role serves as a key liaison between executive leadership and internal/external stakeholders, ensuring effective communication and coordination across the organization.</p><p> </p><p>This position requires discretion, professionalism, and the ability to handle highly confidential and sensitive information while interacting with executives, physicians, administrators, staff, and patients.</p>

Responsibilities:
<ul><li>Provide executive-level administrative support to the SVP of Supply Chain Services and leadership team</li><li>Coordinate and manage complex calendars, meetings, and communications</li><li>Serve as a liaison between executive leadership and health system stakeholders</li><li>Plan, organize, and execute administrative projects and initiatives</li><li>Prepare reports, presentations, and correspondence</li><li>Maintain strict confidentiality of sensitive information</li><li>Facilitate communication across departments, hospitals, and executive offices</li><li>Support operational and strategic initiatives as assigned</li></ul>

Qualifications:
<p><strong>Minimum Education and Experience Requirements </strong></p><ul><li>High school diploma or equivalent required</li><li>Minimum of eight (8) years of progressively responsible administrative or executive support experience</li><li>Demonstrated experience managing projects and tasks independently</li><li>Advanced proficiency in Microsoft Office applications (Word, Excel, Access, etc.)</li><li>Excellent written and verbal communication skills</li></ul><p><strong>Preferred:</strong></p><ul><li>Associate degree (may substitute for a portion of required experience)</li><li>Technical or administrative training</li></ul>

The position provides a broad range of clerical and administrative support across multiple departments or for designated management staff. This role serves as a key front-line contact for the office, requiring strong problem-solving abilities, excellent communication skills, and a professional, customer-focused approach.<br/><br/></div><div><strong>Essential Duties And Responsibilities include the following. Other duties may be assigned.</strong></div><ul><li>Provide a wide range of clerical and administrative support to ensure efficient daily operations across departments including filing, copying, scanning, faxing, and email correspondence.</li><li>Serve as a front-line contact by greeting visitors and directing clients, customers, and staff professionally.</li><li>Assist with answering and route calls on a multi-line phone system, directing inquiries to the appropriate personnel or department.</li><li>Create, maintain, and update documents, databases, master lists, and departmental records; ensure accuracy and track changes.</li><li>Compile data and generate reports for management review and decision-making.</li><li>Coordinate with internal teams to gather information, support projects, and resolve routine issues.</li><li>Assist in preparing materials and supporting departmental projects and reports.</li><li>Schedule and coordinate meetings; prepare agendas and record meeting minutes as needed.</li><li>Prioritize daily tasks and manage workload to meet deadlines and key deliverables.</li><li>Learn, interpret, and apply departmental procedures and guidelines independently.</li><li>Provide backup support for clerical staff and reception functions as needed.</li><li>Perform other related duties as assigned by management.</li></ul><div><br/><strong>Requirements:</strong></div><ul><li>High school diploma or equivalent required; Associate degree preferred.</li><li>Experience in contract electronic manufacturing is a plus, but not required.</li><li>Strong ability to multitask in a fast-paced environment with changing priorities and deadlines.</li><li>Excellent organizational, time management, and communication skills.</li><li>Ability to respond promptly and effectively to requests for assistance.</li><li>Strong verbal and written communication skills, including professional phone etiquette and business correspondence.</li><li>Proficient in writing, editing, and proofreading documents.</li><li>Detail-oriented with a high level of accuracy.</li><li>Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data entry.</li><li>Comfortable using standard office equipment (computers, phones, copiers, fax machines, calculators).</li><li>Ability to quickly learn new tasks, systems, and software programs.</li><li>Employment is contingent upon successful completion of reference check.</li></ul><div><br/><strong>Physical Demands:</strong></div><ul><li>The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.</li><li>While performing the duties of this role, the employee is regularly required to sit and/or walk for extended periods and communicate effectively with internal staff.
