Well-regarded university is in need of a talented Executive Assistant to provide high-level administrative support to the Vice President. This is a wonderful onsite Monday through Friday 9am-5pm, potential temporary-to- direct hire role.You will be:<ul><li>Managing correspondence, reports, and presentations, maintaining calendars, and scheduling meetings</li><li>Taking minutes at meetings</li><li>Interfacing with Board of Trustees, Deans, Faculty, and Donors</li><li>Overseeing website, content, and organizational branding</li><li>Maintaining databases</li><li>Arranging travel and reimbursements</li><li>Assisting with budgeting</li><li>Planning and executing events</li></ul>Please have excellent Microsoft Office skills. This role requires exceptional organizational skills, the ability to multitask, and a professional demeanor to handle sensitive matters with discretion.Key Responsibilities:Administrative Support:<ul><li>Manage executive calendars, schedule appointments, and coordinate meetings.</li><li>Prepare and organize materials for meetings, presentations, and reports.</li><li>Handle incoming and outgoing communications, including phone calls, emails, and mail.</li></ul>Document Management:<ul><li>Draft and proofread correspondence, memos, and reports.</li><li>Maintain filing systems, both electronic and physical, ensuring documents are organized and accessible.</li></ul>Meeting and Event Coordination:<ul><li>Organize internal and external meetings, conferences, and events.</li><li>Handle logistics such as venue booking, catering, travel, and other necessary arrangements.</li></ul>Confidentiality and Discretion:<ul><li>Handle confidential information with the utmost professionalism and discretion.</li><li>Serve as a liaison between the executive team and other stakeholders, ensuring smooth communication and resolution of issues.</li></ul>Office Management:<ul><li>Ensure the office runs efficiently by managing office supplies, equipment, and general administrative tasks.</li><li>Assist with special projects as requested by the executive team.</li></ul>Travel Coordination:<ul><li>Arrange domestic and international travel, including flight bookings, accommodations, and itineraries.</li><li>Prepare detailed travel plans and ensure timely bookings.</li></ul>Project Support:<ul><li>Assist in managing and tracking various projects, deadlines, and deliverables.</li><li>Prepare and maintain project documentation, presentations, and reports.</li></ul>RequirementsQualifications:<ul><li>Proven experience as an Executive Assistant or similar role.</li><li>Strong organizational and time-management skills.</li><li>Excellent written and verbal communication skills.</li><li>Ability to handle multiple tasks simultaneously and prioritize effectively.</li><li>Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.</li><li>Discretion and confidentiality in handling sensitive information.</li><li>A proactive and solution-oriented attitude.</li></ul>BenefitsSalary Range: $45,000 - $60,000 DOEBenefits:<ul><li>Health insurance</li><li>Dental insurance</li><li>Vision insurance</li><li>Retirement plan</li><li>Paid time off</li></ul>Job Type: Full-timeExperience:<ul><li>Relevant: 5 years (Preferred)</li></ul>Work Location: In person
