Description

Order Management Specialist

The Order Management Specialist processes and manages complex orders, inquiries, and issues for mechanical or manufactured products. This role serves as a key point of contact to ensure accurate order processing in SAP, timely communication with internal and external stakeholders, and effective resolution of order-related concerns while supporting multiple internal departments.

Responsibilities

  • Receive, review, and accurately enter purchase orders into the ERP system (SAP) in a timely and efficient manner.
  • Record and process orders and inquiries received via EDI, email, and other communication channels.
  • Review, approve, and confirm orders within the SAP system, ensuring completeness and accuracy.
  • Respond promptly to internal and external inquiries regarding order status, product availability, pricing, and delivery timelines.
  • Provide pricing, availability, and schedule information within established guidelines.
  • Analyze EDI schedule data and communicate any discrepancies from previous revisions to the supply chain team.
  • Research and obtain resolutions for a wide variety of customer concerns, order issues, and discrepancies.
  • Track order activity and proactively alert appropriate staff of any potential delivery problems.
  • Expedite the delivery of selected orders to meet customer requirements and deadlines.
  • Coordinate closely with Sales, Planning, Shipping, Production, and other departments to ensure fulfillment of customer requests and on-time delivery.
  • Maintain accurate records, order documentation, and communication logs in line with department standards.
  • Support continuous improvement initiatives related to order processing workflows and customer service.
  • Participate in customer meetings to support delivery concerns and strengthen account relationships.
  • Provide backup support for other team members as needed to ensure consistent service levels.
  • Serve as a communication link between internal and external staff, ensuring responsiveness through internal team meetings.
  • Complete special projects or tasks as assigned by department leadership to support supply chain and order management operations.

Essential Skills

  • At least 2 years of office, data entry, order entry, or order processing experience.
  • Experience using CRM or ERP technology in a professional environment.
  • High school diploma or GED.
  • At least 2 years of experience using Microsoft Office tools (such as Outlook, Excel, and Word).
  • Proficiency in order entry, data entry, and order processing activities.
  • Experience providing customer support or customer service in a business setting.
  • Strong written and verbal communication skills.
  • Order management or order processing experience in a manufacturing business is a plus.

Work Environment

This is a full-time, onsite role with a standard work schedule of approximately 8:00 a.m. to 5:00 p.m. The position is based in a modern office environment with medium-height cubicles and a large, state-of-the-art production facility that includes large and heavy machinery and equipment. You will work closely with a large team of professionals in a collaborative setting, using technologies such as SAP, ERP systems, EDI, Microsoft Office, and email tools like Outlook. The environment is fast-paced and high volume, offering significant opportunities for growth and development within a growing organization.

This is a Contract to Hire position based out of Loves Park, IL.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
