    Job Summary

    Duties include: processing incoming transcripts as part of the enrollment process, printing transcripts; processing withdrawals, program changes, address changes, enrollment verifications; auditing graduation applications; transfer credit evaluations; evaluating credit for prior learning requests; assisting with data cleanup; answering emails/phone calls; scanning and filing documents into Etrieve; assisting with the processing of admission applications, and other projects as assigned by the Registrar. The position requires someone who is detail-oriented and can maintain confidentiality and security of records as well as work with minimal supervision.

    RCC employees must demonstrate a student-centered approach by prioritizing student success in decisions, interactions, and responsibilities while supporting programs and services that enable students to thrive in college, career, and life.

    Job Duties

    Records Office Duties

    • Printing and mailing outgoing transcripts.
    • Process incoming high school transcripts and adding any earned credits.
    • Evaluating incoming college transcripts for potential transfer credit.
    • Processing withdrawals, program changes, address changes, and enrollment verifications.
    • Assisting with data cleanup.
    • Processes necessary changes to student records and course information as requested.
    • Participating in answering and responding to Student Services email and assisting with student inquiries by phone or in person.
    • Scanning documents into Etrieve. Information includes admission applications, high school and college transcripts, placement test and other standardized test information, and other items deemed necessary to create student records.
    • Adhere to FERPA guidelines when communicating student record information and communicate FERPA guideline information as needed.
    • Assist with division campus-wide events such as graduation, registration events, etc.
    • Processing and evaluating Graduation Applications.
    • Processing Credit for Prior Learning requests.
    • As time permits and other appropriate needs arise, assist the Registrar/Director of Records with various projects.

    Admissions Processing

    • Assists with the processing of admission applications and maintaining electronic database records related to enrollment.
    • Processes the receipt of curriculum and continuing education admission information and ensures entry of information into electronic student data systems including Colleague for new student records.
    • Regularly works with Student Services staff to ensure that student records are accurate, and conducts periodic queries to verify accuracy.
    • Assists with the correction of data needed for various admission and/or enrollment reports or as part of Colleague upgrades and maintenance.

    Performs other related duties as incidental to the work described herein.

    Qualifications

    REQUIRED:

    Associates Degree

    PREFERRED:

    • Two or more years of related experience in a community college or university setting.
    • Experience with Colleague by Ellucian or similar student information system.

    Knowledge and Skills

    • Demonstrate attention to detail.
    • Good organizational and time management skills requiring minimal supervision.
    • Understand how to apply FERPA regulations to business processes.
    • Demonstrate strong computer skills including familiarity with Microsoft Office Word and Excel.
    • Ability to communicate clearly and professionally, provide excellent customer service, work effectively as a member of a team, and maintain productive working relationships with employees, students, and the public. Ability to represent RCC professionally through courteous, accurate, and timely telephone interactions.
    • Demonstrate professional written and verbal communication skills.

    North Carolina Retirement System - State Retirement Plan

    Full-time employees participate in the North Carolina Teachers and State Employees Retirement System. State retirement is deducted at the rate of six percent; the state contribution varies dependent on market conditions. Contributions are tax sheltered for federal and state income tax purposes. Short-term and Long-term Disability benefits are available to eligible employees.

    NC Total Retirement Plans (Supplemental Retirement Plans)

    The NC 401(k) Plan and the NC 457 Plan are defined contribution retirement plans offered as optional employment benefits to eligible employees.
