If our work resonates with you, we'd love to connect!Accounting & Operations SpecialistWe are seeking a detail-oriented, service-minded Accounting & Operations Specialist to support our internal financial operations and client service functions. This role sits within a registered investment advisory firm, and familiarity with the investment management or financial services industry is a plus. You will report to the Director of Finance and play a key part in ensuring the accuracy, organization, and efficiency of our day-to-day operations. We are looking for someone who is a proactive problem solver, takes ownership of their work, and enjoys contributing across both financial and operational areas of a growing firm.Location: Houston or DallasEssential Duties & ResponsibilitiesAccounting & FinanceSupport billing processes for management and tax servicesPerform QuickBooks data entry, including expenses and bill payReview and summarize expenses for accuracy and reportingAssist with collections and follow-up on outstanding itemsPerform account reconciliations, including collections and payoutsClient Service & ReportingSupport the process of downloading and data reconciliation within portfolio management systemConduct proactive outreach to clients for scheduling and general check-ins (non-advisory, structured communication)Provide backup phone coverage and general client support as neededCorporate Operations & Administrative SupportCoordinate events (client, prospect, and internal), including vendor research and logisticsAssist with HR-related administrative tasks (onboarding, offboarding, benefits coordination, PTO tracking)Support and improve CRM (Salesforce) usage, including documentation, reporting, and data integrityContribute to process improvement initiatives across operationsSupport new account setup from opening through tradingSupport estate account processing from notice through final settlement and feesPerform account terminations, to include all steps from closing accounts through fee settlementPerform data audits and clean ups within Salesforce and Tamarac, and follow-up on loose endsEducation & ExperienceExperience in financial services, wealth management, investment management, or a related field requiredExperience with Excel requiredStrong attention to detail and organizational skills requiredProactive, solution-oriented mindset with a high level of accountabilityAbility to manage multiple priorities and follow through consistentlyStrong communication skills and client-service orientation5+ years of experience in bookkeeping or accounting preferred, not requiredExperience with QuickBooks preferred, not requiredExperience with Tamarac or similar portfolio management systems preferred, not requiredExperience with Salesforce preferred, not requiredThis job description should not be considered all-inclusive.
