Accounts Payable Analyst

Our client is looking to add an Accounts Payable Analyst to its Accounting team. This is an excellent opportunity for someone who thrives in a high-volume environment, enjoys problem-solving, and can work through invoice discrepancies to ensure accurate and timely processing. The ideal candidate will have experience with traditional three-way matching, purchase orders, receiving documentation, and vendor invoice reconciliation.

With approximately 250 invoices coming into the queue daily, this role requires more than data entry. We're looking for someone who can think critically, prioritize their workload, investigate discrepancies, and collaborate with project managers and procurement teams to ensure invoices are properly matched and processed.

What You'll Do:

• 
  
• Process a high volume of incoming vendor invoices, with approximately 250 invoices entering the queue daily
• 
  
• Perform traditional three-way matching by comparing purchase orders, vendor invoices, and receiving documentation or packing slips
• 
  
• Review purchase orders, invoices, and receiving records to verify quantities, pricing, and supporting documentation
• 
  
• Manage invoice processing and receiving workflows within established one-step or two-step purchase order processes
• 
  
• Investigate invoice discrepancies, missing receiving records, quantity variances, and pricing differences
• 
  
• Communicate with project managers, procurement personnel, and other internal teams to confirm receipt of materials and resolve outstanding questions
• 
  
• Review invoices for materials and supplies, including insulation and other industrial service-related products
• 
  
• Determine appropriate next steps when invoices do not match purchase orders or receiving documentation
• 
  
• Follow up on proof of delivery (POD), packing slips, and other required supporting documents
• 
  
• Prioritize and organize the daily invoice queue to maintain productivity and minimize processing backlogs
• 
  
• Reconcile vendor statements, research outstanding invoices, and resolve account discrepancies
• 
  
• Utilize AI tools and other available technology to assist with statement matching, reconciliation, and process efficiency
• 
  
• Maintain accurate electronic records and supporting documentation within accounts payable systems
• 
  
• Assist with month-end close activities and identify opportunities to improve invoice processing workflows
• 
  

What We're Looking For:

• 
  
• 2+ years of accounts payable or related accounting experience preferred
• 
  
• Strong understanding of traditional three-way matching, including purchase orders, invoices, and receiving documentation
• 
  
• Experience processing high volumes of vendor invoices in a fast-paced environment
• 
  
• Ability to investigate discrepancies, ask the right questions, and work with project managers or procurement teams to resolve issues
• 
  
• Strong critical-thinking and problem-solving skills, with the ability to work through exceptions rather than simply enter invoice data
• 
  
• Excellent organizational skills and the ability to prioritize a daily workload independently
• 
  
• Experience with Viewpoint and/or Spectrum accounting software is a plus
• 
  
• Familiarity with vendor statement reconciliation and AI tools used to support matching and accounting workflows is beneficial
• 
  
• Proficiency in Microsoft Excel and other standard business applications
• 
  
• Strong attention to detail, accuracy, and follow-through
• 
  
• Excellent communication skills and the ability to collaborate across departments
• 
  
• Ability to manage competing priorities, meet deadlines, and maintain productivity in a high-volume environment
•
