WHAT WE'RE SEEKING

The Accounts Payable Specialist works with our accounting group to produce accurate and timely financial statements for internal and external use, assisting the Accounts Payable Lead with the day-to-day functions of our financial activities. This role works closely with the accounting and operations teams to maintain accurate financial records in accordance with generally accepted accounting principles, and interacts with corporate and site-level associates and managers to communicate financial information. There will also be plenty of opportunities to work on special projects within the accounting department.

WHAT YOU WILL DO

Key Responsibilities

• Ensure invoice payments are processed and paid within agreed-upon terms, following up with vendors or internal stakeholders when additional information is needed, including for intercompany invoices
• Work closely with other teams within AP and internal groups to ensure compliance with financial policies
• Aid in troubleshooting invoices pending in queue
• Investigate vendor statements and collection letters, and contact vendors when necessary to resolve discrepancies
• Communicate with vendors and respond to inquiries
• Maintain systems, procedures, and policies to ensure adherence to company guidelines
• Monitor invoices in queue and exceptions to identify performance and/or system issues
• Perform other related duties and project assignments as required

Ensures vendors and internal partners are paid accurately and on time through disciplined day-to-day AP operations.

• Processes and pays invoices within agreed-upon terms, including intercompany invoices.

Vendor Communication & Resolution

Builds strong vendor relationships by resolving questions and discrepancies quickly and clearly.

• Communicates with vendors and responds to inquiries.
• Conveys information to internal and external customers in a clear, focused, and concise manner.

Compliance & Process Integrity

Supports accurate financial records and adherence to company guidelines through consistent procedures.

• Maintains systems, procedures, and policies to ensure adherence to company guidelines.
• Works closely with other teams within AP and internal groups to ensure compliance with financial policies.
• Applies a proven understanding of basic accounting principles to maintain records in accordance with GAAP.

Cross-Functional Partnership

Partners with accounting, operations, and site-level teams to keep AP aligned with business needs.

• Works closely with the accounting and operations teams to maintain accurate financial records.
• Interacts with corporate and site-level associates and managers to communicate financial information.
• Functions effectively and positively within a team environment.

Brings strong attention to detail and numerical aptitude to every transaction and open item.

• Aids in troubleshooting invoices pending in queue.

QUALIFICATIONS

• Proven understanding of basic accounting principles with prior work experience in Accounts Payable
• Familiarity working in a high-volume and inventory-intensive environment
• Demonstrated spreadsheet, word processing, and data entry PC proficiency
• Strong mathematical aptitude with experience and proficiency working with numbers
• Strong detail orientation with a high degree of accuracy in work
• Ability to multi-task and to function effectively and positively within a team environment
• Demonstrated customer service, interpersonal, and communication skills
• Ability to convey information to internal and external customers in a clear, focused, and concise manner
