Position Overview
We are seeking a highly organized, detail-oriented administrative professional to support document management and office operations. This role is critical to maintaining accurate project records by scanning, organizing, and uploading documents into a Project Management Information System (PMIS). Candidates with experience in administrative support, office management, or construction-related environments are encouraged to apply.
Key Responsibilities
Scan and digitize large volumes of documents in various formats, ensuring accuracy and completeness
Upload, organize, and maintain files within the Project Management Information System (PMIS)
Utilize Microsoft Office 365 tools (Word, Excel, Outlook, SharePoint, Teams, OneDrive) for daily tasks
Merge, edit, and prepare final documents using Adobe Acrobat Pro
Create and maintain spreadsheets for tracking, reporting, and document control
Identify and replicate existing Excel formulas as needed
Answer phones and assist office visitors as required
Support general office and administrative functions while managing multiple tasks with attention to detail
Qualifications
Proficiency in Microsoft Office 365, particularly Excel and SharePoint
Experience with bulk document scanning and digital file management
Strong organizational skills and ability to understand and manage various document types
Experience using Adobe Acrobat Pro
Construction or project-based office experience preferred, but not required
Excellent attention to detail and ability to multitask in a fast-paced environment
Strong verbal and written communication skills
