The Administrative Assistant for the Arthur G. James Cancer Hospital & Richard J. Solove Research Institute is under general supervision of the Administrative Assistant manager but works directly with operations director and managers in completing various administrative tasks. The Administrative Assistant has no supervisory responsibility and maintains absolute confidentiality related to employee and patient information that may be viewed while carrying out various functions of the position.
The Administrative Assistant is responsible for assisting leadership (Administrators, and Nurse Managers) by performing various administrative and clerical functions for the departments. Administrative duties may include but are not limited to: maintain calendars, schedule meetings via Microsoft Teams and Zoom, draft letters, meeting minutes, ordering of supplies, and prioritize meetings and appointments. Arranges travel and submits reimbursement documentation, maintains HR files within the departments, assists managers with clerical duties, and maintaining office supplies and equipment. Perform computer data entry tasks including tracking of staff education. Assists with timekeeping, contact person for various sources of documentation, distribution point for all internal and external communications, receptionist for department office and triages calls and directs callers for some areas. This position will require supporting multiple leaders sometimes located in multiple locations. Must be able to adapt to new environments and maintain an organized workspace.
Minimum Required Qualifications High School diploma or GED. Certification or vocational training may be preferred. 1 year of relevant experience required. 2-4 years of relevant experience preferred.
