Job Summary
Working collaboratively with faculty, staff, and students, the Administrative Assistant provides office assistance in performing the administrative tasks required to support the provost area. This position requires collaboration with multiple areas of the college. The Administrative Assistant reports to the AVC/Dean of Students.
Job Duties:
Perform general administrative duties for academic divisions or other Provost area units. Respond to tickets entered in the Administrative Assistant Ticket system (e.g., attend division meetings and prepare minutes, room reservations in Archibus, order toner and paper for printers, place printer services calls, etc.)
Provide customer service for students, visitors, and employees.
Prepare contracts for adjuncts and full-time faculty overloads.
Distribute and collect new hire paperwork for adjuncts, including verifying documents.
Assist with purchasing requests: procard, pay voucher, requisition, preapprovals, and Perkins.
Track departmental budget and order supplies. Procard holder, responsible for procard edits and reconciliation by deadlines set by the Business Office.
Schedule rooms as needed for meetings and events.
Update and maintain division files and documents-in office or virtually on Teams.
Assist with travel arrangements, purchases associated with travel and submission of delegated travel reimbursements.
Data entry-attach instructor names to classes in PeopleSoft and Faculty Roster maintenance.
Provide guidance and support to faculty and adjuncts as needed (e.g., password resets, questions about verifying attendance, entering grades, posting cancelled class signs, etc.)
Other duties as assigned.
Minimum Qualifications:
High School Diploma/GED and three years (3) experience or equivalent
Preferred Qualifications:
Associates degree and 4 years (4) experience or equivalent
Competent in Microsoft 365 Applications
Bilingual (pref. Spanish, French, Arabic, Swahili, or Dari)
