Ability to organize, write and prepare reports, letters, surveys and legal documents of professional quality; ability to accurately perform mathematical computations and prepare statistical documentation; ability to proficiently take and transcribe dictation, notes and minutes5. Ability to use independent judgment in analyzing situations and making decisions within scope of authority6. Knowledge of basic principles and practices of supervision; ability to train, supervise and evaluate work of others including planning, organizing and prioritizing work7. Possession of valid driver's license and personal car for use on district business8. Ability to effectively communicate orally and in written form9. Ability to establish and maintain effective work relationships with those contacted in performance of duties REPORTS TO: Superintendent JOB GOAL: To perform variety of highly responsible and confidential secretarial and administrative support services for Superintendent and Board of Education PERFORMANCE RESPONSIBILITIES: 1. Performs complex and responsible secretarial duties to ensure successful coordination, processing, and completion of routine administrative operations for Superintendent and Board of Education2. Prepares and/or coordinates preparation and distribution of public agendas for Board of Education meetings; organizes and oversees set-up of Board Room and other meeting accommodations3. Attends and serves as recorder at Board of Education meetings; takes notes and prepares official minutes for appropriate review and distribution; obtains Board member signatures on documents as needed4. Supervises assigned secretarial/clerical staff; assigns and monitors work, oversees workload and workflow, and evaluates quality and production5. Receives and transcribes dictation; composes routine correspondence independently; prepares reports, correspondence, minutes, policies, memos, forms, resolutions and other documents from dictation notes, rough drafts or verbal instructions6. Coordinates variety of district administrative meetings; arranges schedules and facilities; takes notes and prepares summaries; prepares and distributes agendas, information and minutes 7. Maintains detailed calendar for Superintendent and members of Board of Education; arranges interviews, appointments and schedules as required8. Schedules and arranges district travel for Superintendent and members of Board of Education9. Coordinates, directs and monitors special projects, assignments and activities as assigned10. Transmits directives and decisions on behalf of Superintendent to various employees, departments, school sites and/or community members as assigned11. Establishes and maintains variety of administrative and confidential files and records12. Assists in developing and monitoring budget and other accounting procedures of office; performs related bookkeeping tasks13. Performs other related duties as assignedSALARY: $ 116,359 - $129,305 Annually, 223 days (max salary includes longevity & education stipends) EVALUATION: Performance of this job will be evaluated in accordance with the District's "Improvement of Professional Services" handbook, Board Policies and Procedures and consistent with collective bargaining agreements when applicable.NEW PROBATIONARY EMPLOYEES AND PERMANENT EMPLOYEES WHO BECOME PROBATIONARY UPON RECLASSIFICATION:A new employee, or a permanent employee who is changed to a new classification, shall serve a probationary period, which shall not exceed six (6) months of duty time exclusive of leaves of absence or other absences. During this probationary period the employee must meet the required standards of performance to be recommended for permanent status in the classification. A probationary classified service employee may be terminated from the probationary classification at any time without cause, without right of appeal or hearing before the Board of Education. Pursuant to Education Code section 45113, a permanent employee who accepts a promotion and fails to complete the probationary period for that promotional position, shall be employed in the classification from which he or she was promoted.REQUIRED TESTAll applicants must have passed the clerical test within three years of the deadline.
