?? Pay Range: $18/hr-$25/hr based on experience. Includes full benefits, PTO, and 401(k).
Your Mission:
- Serve as the first point of contact for incoming calls, delivering professional and efficient customer support.
- Create, assign, and monitor work orders in Fieldpoint or other dispatching software to keep field operations running smoothly.
- Assist with daily dispatching by coordinating field technicians, schedules, and work order priorities.
- Prepare, review, and process customer invoices accurately and on time by verifying work orders, labor, materials, and supporting documentation.
- Coordinate with field personnel, project managers, and customers to resolve billing discrepancies and invoice questions.
- Support Accounts Receivable by tracking customer payments, monitoring outstanding invoices and aging reports, processing deposits, and assisting with collections.
- Review, code, and reconcile credit card receipts, purchase orders, and branch expenses accurately and on time.
- Manage accounts payable, invoicing, accounts receivable, customer credit applications, monthly statements, and other financial administrative tasks.
- Review environmental compliance testing documentation for accuracy, completeness, and quality before submission to customers or regulatory agencies.
- Organize and maintain compliance records, invoices, and company documentation in accordance with company and regulatory requirements.
- Communicate with field technicians to obtain missing or incomplete documentation and ensure timely project closeout.
- Maintain organized electronic filing systems while assisting with document management, data entry, and month-end reporting.
- Order and maintain office and field supplies as needed.
- Provide administrative support to managers and field teams while helping improve office procedures and workflows.
What You Bring to the Table:
- High school diploma or equivalent (Associate degree or business coursework preferred).
- 1–3 years of administrative, office support, dispatching, invoicing, Accounts Payable, or Accounts Receivable experience; construction, service, petroleum, or other regulated industry experience strongly preferred.
- Experience dispatching or scheduling field technicians in a service, construction, or industrial environment.
- Experience preparing invoices, supporting Accounts Receivable, and resolving billing discrepancies.
- Familiarity with dispatching software such as Fieldpoint, ServiceTitan, or similar platforms.
- Experience with NetSuite or other ERP/accounting systems is preferred.
- Experience reviewing documentation for accuracy and completeness; environmental compliance documentation experience is a plus.
- Excellent customer service, written communication, and interpersonal skills when working with customers, vendors, technicians, and internal teams.
- Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, and Forms), cloud-based document management systems, and basic spreadsheet reporting.
- Strong data entry skills with exceptional attention to detail and organizational ability.
- Ability to manage multiple priorities, meet deadlines, and handle confidential information professionally.
- A dependable, self-motivated professional with a proactive, problem-solving mindset and the ability to quickly learn new software and business systems.

Ability to pass pre-employment physical with extensive lifting (up to 75 lb), twisting, pulling, kneeling, and squatting.
Ability to pass pre-employment drug-screening and background check. If the position is classified as safety-sensitive, it requires the applicant to pass a comprehensive drug test, including screening for marijuana, as a condition of employment.
A valid driver's license with a clean driving record over the past 5 years required.
