Administrative Assistant

Position Overview

Our client is seeking a professional and detail-oriented Administrative Assistant to join their team in Baltimore, MD. This contract position will provide day-to-day administrative support to leadership and staff, ensuring efficient office operations and excellent internal and external communication. The ideal candidate is highly organized, proactive, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide administrative support to managers and team members.

  • Manage calendars, schedule meetings, and coordinate conference rooms.

  • Prepare correspondence, reports, and presentations using Microsoft Office.

  • Answer and direct phone calls, emails, and visitor inquiries.

  • Maintain organized electronic and paper filing systems.

  • Assist with data entry, record keeping, and document management.

  • Coordinate travel arrangements and process expense reports as needed.

  • Order office supplies and support general office operations.

  • Assist with special projects and other administrative tasks as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's degree preferred.

  • 3+ years of administrative support experience.

  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Excellent verbal and written communication skills.

  • Strong organizational skills with a high attention to detail.

  • Ability to prioritize multiple tasks and meet deadlines.

  • Professional demeanor and strong customer service skills.

Preferred Qualifications

  • Experience supporting multiple departments or executives.

  • Experience with scheduling, event coordination, or project support.

  • Familiarity with SharePoint or other document management systems.
