Allen University Administrative Assistant/Budget Manager Full-time (12 months) Job Announcement and Description: The administrative assistant budget manager works to support the Schools of Mathematics & Natural Science and Arts & Humanities by performing a variety of clerical and administrative duties to support the schools with operational and clerical detail. The Administrative Assistant/Budget Manager provides administrative, clerical, and budgetary support to the School of Mathematics & Natural Sciences and the School of Arts & Humanities. The position supports the day-to-day operations by coordinating administrative activities, maintaining accurate records, preparing correspondence and reports, scheduling meetings, and assisting faculty and school leadership with operational needs. Key Responsibilities: General office management (i.e., monitoring and ordering new supplies as needed, ensuring office areas remain tidy). Submitting purchase requisitions and helping monitor school budgets. Collecting and archiving faculty paperwork relevant to school operation and accreditation. Assisting faculty in submitting work orders and IT requests. Staffing the reception area, answering phone calls, assisting faculty with printing and copying teaching materials, and taking meeting minutes. Working on special projects as assigned by the Dean of each school (i.e., compiling contact lists, creating flyers, drafting emails to communicate divisional events and programming, assisting with planning and hosting special events). Works collaboratively to support academic functions with the Office of Academic Affairs and other school Administrative Assistants. Qualifications: Minimum of a Bachelor degree. Two years of related work experience Proficiency with Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and academic enterprise system e.g. Jenzabar Good written and interpersonal communication skills. Understanding of and commitment to the institution's values and its mission of educating the students we serve. Strong organizational, communication, customer-service, and problem-solving skills; Ability to maintain confidentiality; manage multiple priorities and deadlines; and exercise sound judgment when handling administrative and financial information. Essential Skills: Knowledge of record-keeping, filing, business writing, editing, proofreading, grammar, spelling, and office procedures. Proficiency with computers, assigned software, data collection and organization, and information management. Ability to coordinate communications and correspondence; compose written materials independently or from instructions. Ability to prioritize, meet deadlines, and work independently with minimal direction. Provide high-quality administrative support consistent with university policies and procedures.
