Job Title - Administrative Assistant
Duration - 6 Months (Potential Temp-to-hire)
Location - Chicago, IL 60612
Shift - Day 5x8-Hour (08:00 - 17:00)

Onsite position. Potential temp-to-hire.


The Client is looking to hire a temp administrative assistant for the dept of IM, with the goal of moving this role permanently into our Graduate Medical Education (GME) side, as a Clerkship Coordinator.

Seeking someone with strong organizational and communication skills who can support departmental operations while also having an interest in academic program coordination. The long-term Clerkship Coordinator responsibilities would include supporting medical students, clerkship leadership, and faculty; coordinating schedules and educational activities; managing program documentation and communications; and assisting with the day-to-day administration of the medical school clerkship program. Experience in healthcare, higher education, academic medicine, or program coordination would be a plus.

Responsibilities:

1. Meets the administrative needs of department management and staff members.
2. Coordinates department specific programs or meetings as assigned: planning, preparation of materials, implementation and evaluation.
3. Composes business documents as assigned.
4. Independently creates correspondence such as follow up to meetings, response to employees etc.
5. Plans for employees and departmental special events.
6. Writes, edits and formats content of departmental communication.
7. Maintains a calendar for staff availability and schedules.
8. Appropriately follow-ups on action between meetings.
9. Distributes reports, agendas and other materials for programs.
10. Independently make travel arrangements for the management.

Required Job Qualifications:
"High School Diploma
"Experience in an administrative role
"Software skills in Microsoft Office, including Excel, Access, and PowerPoint, scheduling/calendar software
"Excellent communication written and oral skills
"Ability to produce accurate documents and reports
"Ability to work in administrative systems
