Job Title: Administrative Assistant

Position Overview:
Venesco is seeking a detail-oriented and organized Administrative Assistant to support contract operations and day-to-day management activities in a fast-paced government environment. This role will provide critical administrative, records management, and program support to Contracts Program Managers (CPMs), Contracting Officer Representatives (CORs), and Contracting Officers (COs).

Requirements

Mandatory Qualifications:
  • Minimum of three (3) years of experience as an Administrative Assistant
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, and Zoom
  • Active Non-Disclosure Agreement (NDA) in place with employer
Key Responsibilities:
  • Provide administrative support for daily management of contractual requirements
  • Oversee records management programs, including records inventory, file management, disposition, and training
  • Maintain and update comprehensive data repositories related to project activities and management reporting
  • Support automated data activities, including reports, spreadsheets, databases, and briefings using government systems
  • Assist CPMs, CORs, and COs with contract/task order establishment, maintenance, and oversight
  • Receive and process invoices and monthly status reports; review for accuracy and resolve discrepancies
  • Establish and maintain project records in Project Tracking Systems (PTS) or other government systems
  • Update procurement and tracking logs (e.g., PR Log, Management Log)
  • Support contract closeout activities, including documentation collection and reconciliation of expired contracts
  • Prepare, route, track, and file correspondence, documents, and forms
  • Manage incoming/outgoing mail and assist with customer inquiries
  • Provide quantitative and statistical data support to Division leadership
  • Assist with suspense tracking and distribution
  • Support supply ordering and general office operations
