Job Summary and Qualifications

Position Summary: Under supervision of the Business Supervisor, performs scheduling for clinic appointments with physicians or nurse practitioners, lab draws, and procedures. When need arises, will perform other duties as assigned by supervisor. Job duties include:

· Schedule appointments for patients with appropriate physician or nurse practitioner

· Identify appropriate length of appointment (new consultation, recheck)

· Schedule appointments for lab draws and procedures

· Coordinate with physicians and nurse practitioners to maintain their most current availability

· Provide excellent customer service to patients visiting the clinic or calling by phone to schedule appointments

· Troubleshoot when appointments need rescheduling, patients are late for an appointment, or an appointment is missed

· Contact patients prior to appointment to confirm time/date of appointment

· Educate patients on how early to arrive for appointment, where to check and what information to bring to appointment

· Demonstrates understanding of the copy machine, fax machine, and phone system.

· Aware of patient's right to privacy and questions, when needed, regarding release of information.

· Demonstrates the ability to work independently.

· Communicates work status to the Supervisor on a daily basis. Immediately informs the Supervisor of any backlogs, delays, or problems.

· Assists in other Front Office functions as needed.

· Answers telephone and interacts with colleagues in a professional manner.

II. Position Requirements

A. Licensure/Certification/Registration: MA preferred

B. Education: College Degree Preferred.

C. Experience: Two years experience in hospital or outpatient medical records setting preferred.

D. Special Qualifications: Basic understanding of medical terminology. Knowledge of Word and Excel required. Strong organizational and critical thinking skills. Able to communicate effectively with patients, families, physicians, and other health care team members. Able to function as a part of a multidisciplinary team to ensure quality patient care.
