The Town is seeking applicants for a Administrative Assistant in the Engineering department. The position is hourly with a range of pay from $20.33-$25.41. Eligible for a 3% Cost of Living Adjustment on July 1, 2026.

Requirements

Essential Functions

    • Check right-of-way (ROW) and grading permit applications to ensure required documents are provided by the applicant and/or contractor. Contact contractor/applicant if documents (sketches, site plans, drawings) are missing or require changes. Work with Engineering and Planning staff in obtaining letters of credit if required, contractor licensing and insurance documents, TDOT and TDEC documents if needed.  Issue drainage fee invoice if applicable and check off payment when received.  Prepare ROW and grading permits for Asst. Town Engineer.
    • Work with Engineering and Planning staff to ensure required documents are provided for retaining walls and established requirements are met.
    • Work with Asst. Town Engineer in preparing contract documents for engineering bids.  Send bid announcements to media for publication. Post bid/contract information along with drawings and other bid documents on TOF’s website.  After contract is awarded and approved by BOMA, assemble contract documents, prepare the notice of award, and mail to the contractor for signature.  As directed by the Engineering Director, send fully executed contract to contractor along with the notice to proceed.
    • Assist Planning and Codes in adding to and updated Letter of Credit spreadsheet.  Notify the appropriate individuals, contractors, or financial institutions if engineering-related LOC requires an extension.  Prepare LOC release, renewal, or change letters at the direction of the Town Engineer or Asst. Town Engineer.
    • Work with Planning and Codes in processing sub-contractor permit applications in MGO.  Work with contractors if documents are missing or require updating, send permit invoices, bring in payments, check off payments, issue permits as needed.
    • Assist in searching for scanned/archived documents in Laser Fiche as needed.
    • Process engineering invoices for payment via Encode at the direction of Town Engineer.
    • Process citizen requests submitted to the Engineering Department via the MGO Solution Center. Notify the appropriate Engineering staff member assigned to resolve the issue and monitor the department’s Solution Center requests to ensure they are completed in the required timeframe, and that the citizen has been contacted at the close of the project.
    • Assist Farragut residents with engineering-specific concerns either on the phone or in person as needed.
    • Assist the Town Receptionist and the Codes/Planning Department in answering the TOF’s main phone lines and in providing information and/or assistance to Farragut residents who make inquiries in person. 
    • Performs advanced level secretarial and/or clerical duties including writing, typing, filing, copying, sending and/or receiving facsimiles, ordering and/or maintaining office supplies, and proofreading documents.
    • Prepares written material, reports, memoranda, payment requisitions and documents related to town contracts.
    • Answers, logs, maintains and updates citizen incident calls; directs complaints to the appropriate person or department.
    • Other duties as assigned.

 

Knowledge, Skills, and Abilities

General knowledge of standard office practices, procedures, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; general knowledge of department programs and policies; general knowledge of standard computer software and hardware; general skill working in administrative support documents; general skill operating standard computer and peripheral equipment; ability to manage time and work within time constraints; ability to type accurately at a reasonable rate of speed; ability to operate standard office, word processing and data entry equipment; ability to follow oral and written instructions; ability to communicate effectively in oral form; ability to coordinate among elected officials; ability to create public presentations and marketing materials; ability to make arithmetic computations using whole numbers, fractions and decimals; ability to establish and maintain effective working relationships with citizens, town staff, elected officials, and the general public.

Education and Experience

High school diploma or GED and a minimum of three experience as an administrative assistant with progressive word processing and database responsibility or equivalent combination of education and experience. Proficiency in Microsoft office software required.

Physical Requirements

This work requires the frequent exertion of up to 10 pounds of force and occasional exertion of up to 25 pounds of force; work regularly requires repetitive motions, frequently requires walking, sitting and using hands to finger, handle or feel and occasionally requires standing, speaking or hearing, climbing or balancing, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

 

Special Requirements

Must be a Tennessee Notary Public within one (1) year of hire.

Valid driver's license in the State of Tennessee.
