Position Summary Contura Vet USA Inc. is seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive administrative support and help ensure smooth day-to-day operations across multiple departments. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing diverse responsibilities, and takes pride in staying organized and responsive. The Administrative Assistant will support scheduling and calendar management, coordinate meetings, assist with event logistics, manage shipping of materials and supplies, handle internal and external communications, and maintain accurate records and documentation. This position plays a key role in supporting cross-functional teams and keeping operations running efficiently as the organization continues to grow.

Key Responsibilities

• Manage calendars, coordinate meetings, and support meeting logistics to ensure workflows remain organized and deadlines are met

• Handle phone calls, emails, and other correspondence while prioritizing urgent matters and maintaining a professional tone

• Maintain and organize digital and physical files, records, and documentation for accuracy and easy retrieval

• Prepare reports, presentations, spreadsheets, and supporting materials by compiling and formatting data clearly and professionally

• Coordinate shipping of materials, samples, supplies, and event-related items; assist with inventory tracking and replenishment

• Order office and operational supplies, monitor inventory levels, and support equipment or materials needed for wet lab and education programs

• Assist with data entry and basic bookkeeping tasks, including invoice tracking, documentation collection, and routing for approval

• Liaise with vendors, clients, and internal teams to share information, schedule meetings, and support ongoing operations

• Handle sensitive information, company records, and financial documents with confidentiality, accuracy, and discretion.

Required Qualifications

• Education: Associate’s degree required; Bachelor’s degree preferred, or equivalent professional experience.

• Experience: Minimum of 2–4 years of administrative or operations support experience in a fast-paced environment.

• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), email platforms, and data entry systems

• Comfort learning new systems, tools, and processes (e.g., accounting, CRM, or project management platforms)

• Professional demeanor with the ability to remain composed under pressure

Work Requirements

• Reliable high-speed internet connection and a professional remote workspace
