The Administrative Assistant I will provide general administrative support to both the Accounting Department and the Finance and Real Estate Department. Performs various routine administrative duties daily for both departments. Requires a broad understanding of organizational operations and procedures. Will handle confidential and sensitive material

Essential Duties and Responsibilities

  • Addresses and resolves routine problems within the business or academic unit; apply internal and external policies and procedures during the resolution of problems.
  • Serves as a liaison between the business or academic unit and internal and external clients.
  • Creates routine correspondence (i.e., letters, emails, etc.); submits e-forms; maintains files and records and inputs class schedules for both departments.
  • Schedules and coordinates meetings and events, including managing invitations, tracking RSVPs, securing room reservations, arranging catering, and ensuring all logistical details are executed accurately and on time.
  • May perform one or more of the following: assist with departmental exams, act as timekeeper, maintain employee records, track annual appointments for the business or academic unit, etc.
  • Coordinates travel arrangements and prepares expense vouchers and expense
  • reimbursements. Also handles other reimbursement requests.
  • May perform one or more of the following: assist in the reconciliation of departmental financial accounts; prepare and submit financial transactions including vouchers, requisitions, deposits, budget transfers.
  • Use of a purchasing card for departmental purchases, including monthly reconciliation of all transactions.
  • Performs other duties assigned.

Minimum Qualifications

  • High school diploma or equivalent.
  • Two (2) years of experience providing secretarial or administrative support or equivalent work experience.

Preferred Qualifications

  • Bachelor's degree in Communication, General Studies, or Business.
  • Experience with department budgets.
  • Experience processing basic financial transactions.
  • Experience with PeopleSoft.
  • Experience with The University of Texas at Arlington policies and procedures.

Knowledge, Skills and Abilities

  • Ability to utilize Microsoft Office Suite.
  • Knowledge of standard office practices and procedures.
  • Ability to maintain accurate records.
  • Skilled in written and oral communication skills.
  • Ability to collaborate effectively across two departments, adapting to shifting priorities and taking on diverse responsibilities to support organizational goals.
  • Ability to resolve routine problems and make decisions.
  • Ability to draft, read and comprehend a variety of correspondence.
  • Ability to manage time effectively and prioritize work.
  • Skilled in preparing clear and concise reports, correspondence, and other written materials.
  • Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.
  • Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
  • Skilled in applying logical thinking to solve problems or accomplish tasks.
  • Ability to understand, interpret and communicate policies, procedures, and protocols.

Other Requirements Workplace and Eligibility Conditions

  • Standard office conditions.
  • Repetitive use of a keyboard at a workstation.
  • The incumbent will divide their time between the two departments, typically spending approximately half of the workweek working for each.
  • Workload demands may occasionally require increased time devoted to one department to provide additional support or address operational needs.
