Job Summary

The Administrative Assistant II will provide varied administrative support for the Student and Academic Affairs team to include Academic Affairs, Student Affairs, Academic Advising and Practicum Education, Interprofessional Education, and BSW, MSW, and DSW Programs. Additional responsibilities include but are not limited to coordinating daily office management, and managing correspondence, and processing documents for personnel matters.

Essential Duties and Responsibilities
  • Provide general administrative support to ensure smooth daily operations for the Office of Student & Academic Affairs.
  • Manage shared departmental email inboxes and calendars while coordinating scheduling needs across the team.
  • Support student onboarding and orientation communications and maintain organized records and files in SharePoint.
  • Provide student support coordination and reporting.
  • Track and organize student success reviews, BRIDGE alerts, and Early Alerts.
  • Maintain accurate reporting systems and support timely follow-up and documentation to ensure student needs are addressed effectively.
  • Manage front desk operations, including answering and routing phone calls, greeting visitors, and directing guests to appropriate departments and individuals.
  • Support daily office operations and serve as primary point of contact for general inquiries.
  • Provide support for event logistics and volunteer registrations for departmental activities. Coordinate room reservations.
  • Assist with departmental purchasing processes and complete monthly reconciliation of expenses.
  • Maintain accurate records and support financial tracking in alignment with institutional guidelines.
  • Other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent.
  • Four (4) years of experience providing secretarial or administrative support in increasingly demanding positions or an equivalent mix of education and relevant experience in similar role.
  • Proficiency with Microsoft Office products (e.g., Outlook, Word, Excel)
Preferred Qualifications
  • Bachelor's degree.
  • Experience processing basic financial transactions.
  • Knowledge and experience of the University's policies and procedures.
  • Knowledge and experience of PeopleSoft and Concur.
Knowledge, Skills and Abilities
  • Knowledge of standard office practices and procedures.
  • Knowledge of accessibility principles including awareness of ADA requirements and digital accessibility standards.
  • Excellent communication skills (written and verbal).
  • Ability to communicate and liaise with faculty and administrators.
  • Ability to maintain accurate records.
  • Ability to draft, read and comprehend a variety of correspondence.
  • Ability to independently resolve routine and complex problems and make decisions.
  • Ability to manage time effectively and prioritize work.
  • Efficient and competent working knowledge of Microsoft Office.
  • Skilled in preparing clear and concise reports, correspondence, and other written materials.
  • Skilled in applying logical thinking to solve problems or accomplish tasks.
  • Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.
  • Understanding, interpreting, and communicating complicated policies, procedures, and protocols.
