Administrative Assistant II

The Opportunity:

At Frost, our Administrative Assistants play a pivotal role in providing top-level support to our CPA practice. You'll be responsible for managing communication with both new and existing clients, while also handling important day-to-day administrative tasks, guaranteeing smooth operations.

Your Key Responsibilities:

  • Assemble and process tax returns (e.g. client engagement letters, organizers, returns, extensions, and estimates).
  • Administration of Tax Portal Access (client activation, changes, deletions, document uploads, assist clients with usage, etc.).
  • Responsible for overall document organization, including scanning and storage of client documents.
  • Manage tax due dates and delivery of tax deliverables.
  • Provide administrative support to the firm by managing inbound phone calls, sending and receiving deliveries, and sorting and delivering mail.
  • Establish positive rapport with clients to enhance client delivery support.
  • Thorough understanding of tax preparation software (CCH Preferred).
  • Identify problems and seek resolution through sound judgment and solid decision-making skills.
  • Research questions and problems regarding departmental or administrative policies, procedures, information, or services, including questions which are complex in nature. Maintain the highest degree of professionalism and client confidentiality.
  • Optimize workflow, efficiency, resources, and client satisfaction.
  • Assist with event and meal coordination.
  • Project management skills.
Qualifications:
  • High School Diploma or equivalent.
  • Basic understanding of Microsoft Office Suite (including Word, Outlook and Excel) and Adobe Acrobat.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to work on-site, required.
  • Excellent communication and flexibility with a willingness to learn.
  • Availability of working 40 hours a week. During the busy season overtime will be mandatory.
  • One to two years of work experience in public accounting is required.
  • Experience using CCH Axcess, CCH Prosystems fx Engagement, CCH AnswerConnect, QuickBooks and other tax preparation and research software is preferred but not required.
