Job Title: Administrative Assistant IV

Reports to:Assistant Office Manager

Grade: 14 (union/full-time)

Salary: $60,147

Level: Entry (This may vary for internal candidates)

Location: 2650 S. California/Leighton Courthouse

Bureau: Administrative Services

Division/Unit: Investigations

Primary Function:

Provide administrative support to Supervisors and Investigators in the Investigations Bureau.

Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Maintain all timekeeping, overtime, time summaries and payroll
  • Arrange training for new investigators, interns or non-FTO investigators
  • Facilitate phone inquiries from investigators on street assignments for various information
  • Maintain various database systems
  • Enter information into the database
  • Type, file, fax, copy, scan
  • Assist in the preparation and production of monthly and yearly reports
  • Run background checks
  • Maintain Investigations Unit paper documents and electronic files
  • Regular interaction with State’s Attorney’s Office employees
  • Interaction with outside agencies
  • Maintain confidentiality of information and the implicit understanding of discretion is required regarding the confidentiality of any requests and/or records obtained
  • Perform other duties and responsibilities as assigned

Qualifications:

Required:

  • The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.
  • The candidate must be able to manage a high-volume caseload daily.
  • The candidate must be able to work in a fast-paced environment.
  • Knowledge of Microsoft Word Office applications.

Preferred:

  • Clerks, SharePoint, and CRIMES computer experience.
  • Typing speed of 50+wpm.
