    Job Description

    Position Summary

    The Administrative Assistant supports the Leasing teams by helping maintain efficient operations, accurate information, and timely coordination throughout the leasing process. This role serves as a key administrative partner, enabling the team to stay organized, responsive, and focused on advancing leasing activity and business priorities.

    Responsibilities

    • Prepare accurate and timely lease proposals using the company’s data management system, Yardi Retail Manager.

    • Compile, maintain, and continuously update current site, marketing materials, and tenant information including marketing packages for properties with available leasing opportunities.

    • Distribute marketing materials and property information to prospective and existing tenants as requested.

    • Coordinate the collection of lease exhibits and supporting documentation from internal and external sources within required timelines.

    • Prepare, update, and distribute leasing activity reports and related materials, including monthly sales reports, pipeline reports and rent rolls.

    • Analyze current and prior-year tenant real estate tax obligations in accordance with specific lease requirements. 

    • Prepare analysis of financial impacts related to co-tenancy inquiries. 

    • Support daily business activity of the Leasing team, including general office work, booking travel, preparing expense reports, and sorting and distributing mail.

    • Research, prepare and edit reports and presentations.

    • Other duties as assigned.

    Qualifications          

    • High School Diploma or GED required.

    • Minimum of two years of experience in an administrative support role or related experience in commercial real estate required.

    • Strong understanding of Yardi Retail Manager, Adobe and Photoshop preferred.

    • Excellent business writing, business math and verbal communication skills required.

    • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook required.

    • Strong organizational skills with the ability to manage multiple tasks and competing deadlines simultaneously.

    • Ability to prioritize and execute tasks independently in a fast-moving environment.

    • Professional written and verbal communication skills, with the ability to represent the team effectively in both internal and external interactions.

    Compensation

    • Salary type: Exempt 

    • Pay Frequency: Bi-weekly

    • Annual Base Salary Range: $26.44 – 36.05 

    • Annual Bonus: 4%
