Pay Rate: $22.00-$30.00 per Hour

Position Overview

We are seeking a highly organized and dependable Administrative Assistant to provide comprehensive administrative and operational support to the Executive Staff, Director of Quality Management, and clinical teams within the facility. This position plays an important role in coordinating schedules, facilitating communication, maintaining meeting documentation, and supporting day-to-day departmental operations.

The ideal candidate will have excellent organizational and communication skills, strong attention to detail, and the ability to effectively manage multiple priorities in a professional and fast-paced environment.

Key Responsibilities

  • Provide administrative support to Executive Staff and facility leadership.
  • Schedule and coordinate appointments, meetings, and other administrative activities.
  • Manage and route messages and communications from outside collateral providers to appropriate staff members.
  • Facilitate communication among various departments and facility staff.
  • Take accurate and organized meeting minutes during important facility meetings and distribute documentation as appropriate.
  • Assist with ensuring adequate departmental coverage is maintained on a day-to-day basis.
  • Support the Director of Quality Management with administrative activities related to pre- and post-Joint Commission survey visits.
  • Coordinate and schedule meetings involving leadership, administrative, and clinical staff.
  • Assist clinical staff with administrative needs and communication.
  • Facilitate communication among clinicians regarding various clinical evaluations, particularly during the admission and discharge processes.
  • Assist with tracking and coordinating information required for clinical evaluations and related administrative processes.
  • Maintain organized records, correspondence, meeting documentation, and other administrative materials.
  • Provide general administrative support to facility staff as needed.
  • Perform other related duties and special projects as assigned.

Qualifications

  • High School Diploma or equivalent required.
  • Previous administrative, clerical, healthcare, or office support experience preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to communicate effectively with executives, clinical staff, facility employees, and outside providers.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality when handling sensitive facility and clinical information.
  • Ability to coordinate multiple schedules, priorities, and deadlines.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work independently while also functioning effectively as part of a team.

Ideal Candidate

The ideal candidate is a professional, organized, and proactive administrative support professional who can effectively coordinate schedules, manage communications, document meetings, and assist both leadership and clinical teams. Experience in a healthcare or facility environment is a plus, particularly for candidates familiar with quality management, admissions/discharges, clinical coordination, or regulatory survey preparation.
