    Job Summary:

    Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

    We are looking for a talented Administrative Associate to join our team in (Anchorage, AK) .

    You will make an impact in the following ways:

    Coordinate service requests by working with customers and technicians to prepare quotes, schedule appointments, and ensure timely completion of service work

    • Manage warranty claims and documentation, including verifying eligibility, submitting required paperwork, and tracking claim status through resolution
    • Serve as the primary point of contact for customers, providing updates on service schedules, work progress, and warranty-related inquiries
    • Maintain accurate records of service activities, work orders, customer communications, and warranty documentation
    • Support service operations by coordinating technician schedules and ensuring effective communication between customers, technicians, and internal teams
    • Utilize Microsoft Office and service management systems to complete administrative tasks and maintain accurate information
    • Provide administrative support to senior management, including scheduling, correspondence, reporting, and document preparation

    In order to be successful in this role you will need the following:

    • High school diploma or equivalent, with 2+ years of administrative, customer service, or service coordination experience
    • Strong organizational and multitasking skills with the ability to manage schedules, work orders, and multiple priorities in a fast-paced environment
    • Excellent verbal and written communication skills for interacting professionally with customers, technicians, vendors, and internal teams
    • Proficiency with Microsoft Office and experience using scheduling, service management, ERP, or related software systems
    • Experience in a service, construction, equipment, automotive, or warranty administration environment preferred
    • Familiarity with warranty claim processing, invoicing, dispatch, or service coordination preferred

    Core Responsibilities (2-3)

    1. Coordinate service requests by working with customers and technicians to prepare quotes, schedule appointments, and ensure timely completion of service work.

    2. Manage warranty claims and documentation, including verifying eligibility, submitting required paperwork, and tracking claim status through resolution.

    3. Serve as the primary point of contact for customers, providing updates on service schedules, work progress, and warranty-related inquiries.

    Required Skills, Education, or Experience (2-4)

    1. High school diploma or equivalent, with 2+ years of administrative, customer service, or service coordination experience.

    2. Strong organizational and multitasking skills with the ability to manage schedules, work orders, and multiple priorities in a fast-paced environment.

    3. Excellent verbal and written communication skills for interacting professionally with customers, technicians, and vendors.

    4. Proficiency with Microsoft Office and experience using scheduling, service management, or ERP software systems.

    Preferred Skills, Education, or Experience (1-2)

    1. Experience in a service, construction, equipment, automotive, or warranty administration.

    2. Familiarity with warranty claim processing, invoicing, or dispatch.

    Education, Licenses, Certifications:

    High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

    This position may require licensing for compliance with export controls or sanctions regulations.

    Experience:

    Significant work experience and in-depth knowledge obtained through specialized training and relevant experience.

    Base salary rate commensurate with experience.
