Position Summary

The Administrative Coordinator for the BSN and HP Programs is responsible for providing administrative and operations support to the BSN and HP Programs' Administration, faculty members, and students. The Administrative Coordinator for the BSN and HP Programs reports to the Dean, School of Nursing and Health Professions.

Job Duties

  • Leads, manages and coordinates all administrative operations to optimize the BSN and HP programs, school and university initiatives (enrollment, recruitment and retention of students).
  • Collaborates with key personnel within the Dean's suite to optimize program operations.
  • Meets regularly with BSN and Health Professions' Program Administrators to provide initial consultation, and insights.
  • Coordinates with essential UIW departments to provide support for students (IT, Student Health Services, Financial Aid, Admissions, and Simulation Lab Team).
  • Evaluates and manages the needs of the program for process improvements.
  • Communicates timely with students, departments, and university officials.
  • Oversees integrity of academic program including correspondence for student admissions, progression, academic probation and dismissals.
  • Ensures student onboarding, credentialing, compliance with background checks, in collaboration with the Director of Clinical Partnerships, Marketing, and Compliance.
  • Assists with admission articulations for candidate screening.
  • Collects, manages and analyzes data on enrollment, retention, revenue, GPAs, etc. for annual program reports/assessments and program reviews in collaboration with the Associate Dean for Assessment and Faculty Coordinator.
  • Ensures compliance with program, university policies and accreditation standards (CCNE) under the supervision of Program Chair and ABSN Director.
  • Maintains CRNA program repository for software contracts and documents.
  • Creates interview, orientation, info sessions, and graduation event schedules.
  • Participates, as needed, in Admissions Committee and Students Affairs Committee work, and provides minutes and agendas, as appropriate.
  • Creates an environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

Qualifications

Knowledge Skills and Abilities

  • Ability to effectively learn and apply knowledge of professional requirements and national standards for nursing.
  • Excellent interpersonal communication skills and team collaboration skills.
  • Strong organizational, critical thinking, and problem-solving skills.
  • Proficiency in the use of Microsoft Excel, Word, PowerPoint, Outlook, and Teams or equivalent. Ability to effectively learn and use web conferencing tools.
  • Ability to actively and effectively engage with students, faculty and staff members.
  • Ability to conduct respectful relationships with students, faculty and staff members.
  • Ability to work collegially and productively within the university community.
  • Knowledge of grant funding disbursements and financial aid or willingness to learn.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education

Associates Degree or 60 college hours. Note that up to two (2) years of additional experience may substitute for required education.

Required Work Experience

Four (4) years of administrative/office support experience in a complex office environment. Note that up to 2 (two) years of additional education will be considered for up to 2 (two) years of experience.

Preferred Qualifications

  • Advanced computer and organization skills.
  • Critical thinking and ability to prioritize multiple tasks.
  • Knowledge of academic settings.
  • Experience coordinating events and special projects
  • Proficiency in presentation software and presentation development

Required Certifications, Licenses or Registrations

  • Must have a valid driver's license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.
  • Valid identification with "Real Id" designation, as required for air travel.

Work Hours

Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs (including travel) and/or needs of the learning community, with some weeknights and weekends.

Physical Demands

  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus, event venues, and recruitment sites to actively engage potential students, as well as attend meetings on and off campus.
  • Ability to lift up to 25 lbs for table set-up/tear-down at events to include reaching overhead, bending, squatting to retrieve office/marketing/events materials.
  • Ability to push/pull event carts holding up to 25 lbs.
  • Ability to navigate airports with recruiting materials.

About Company

One of the leading comprehensive universities in Texas, the University of the Incarnate Word in San Antonio strives to educate men and women who will become concerned and enlightened citizens with values developed in a Judeo-Christian tradition. In 1881 the Sisters of Charity of the Incarnate Word founded Incarnate Word College as a center of higher education for young women. The college was admitted to membership in the Association of Colleges and Secondary Schools in 1919, and joined the Texas Association of Colleges as a senior college in 1920. The Graduate Studies division was established in 1950. Male students were first admitted into the college's undergraduate programs in 1970. Incarnate Word College became the University of the Incarnate Word in 1996. Today, UIW is a Hispanic-Serving Institution under federal guidelines.

UIW is the largest Catholic university in Texas and the fourth-largest private university in the state. The enrollment reflects the diversity of South Texas, as more than 60 percent of the students are from racial or ethnic minority groups. UIW is ranked No. 1 nationally among faith-based universities in the conferring of bachelor’s degrees to Hispanics by the Hispanic Outlook in Higher Education Magazine, and No. 6 nationally among all private, not-for-profit universities. International students comprise 14% of the student body, and they represent over 70 countries. Seventy-five percent of the students depend upon financial aid. A majority of the students are first-generation college attendees.

UIW offers 80 undergraduate and graduate fields of study, including the Ph.D. in Education and doctoral degrees in pharmacy (Pharm.D.), optometry (OD), nursing practice (DNP), physical therapy (DPT) and business administration (DBA). UIW is one of twenty universities in the U.S. with an optometry program, while the pharmacy school is the only one in Texas at a private university. In fall, 2017, the School of Osteopathic Medicine will welcome its first class of students to a new facility at Brooks City Base.

In athletics, UIW is a member of the Division 1 Southland Conference. UIW fielded its first football team in 2009, which plays in Benson Stadium, named after New Orleans Saints owner Tom Benson.

With a student-to-faculty classroom ratio of 14:1, UIW is a wireless campus that provides students with an environment that encourages excellence in academics.
