The Center for Expanding Viewpoints in Higher Education (CEVIHE) at Tufts University is a university-wide initiative based in the Office of the President. What You'll Do:
The Administrative Coordinator provides comprehensive administrative support to ensure the efficient day-to-day operations of the Center. This role supports financial processing, hiring and onboarding workflows, office management, and coordination across university units. The position requires strong organizational skills, attention to detail, and the ability to manage multiple administrative processes in a fast-paced environment.

  • Provide administrative support for financial operations, including processing requisitions, invoices, reimbursements, cost transfers, and vendor payments; assist with expense tracking and documentation.
  • Support hiring and onboarding processes for postdoctoral fellows, student employees, and temporary staff, including coordinating with Human Resources and ensuring completion of required documentation and workflows.
  • Assist with contract coordination and administrative documentation, working with Procurement, Finance, and other central offices as needed.
  • Manage office operations, including ordering supplies, maintaining equipment, submitting facilities requests, and ensuring the Center’s physical space is functional and well-maintained.
  • Coordinate space reservations and scheduling for CEVIHE programs, meetings, and events, and liaise with campus partners to address facilities and logistical needs.
  • Provide scheduling and calendar support for the Center’s leadership, including coordinating meetings and maintaining organized records of communications and materials.
  • Assist with administrative aspects of cross-unit coordination, supporting collaborations with academic departments and central administrative offices.
  • Maintain organized records and file systems for financial, personnel, and operational activities, ensuring accuracy, accessibility, and compliance with university policies.
  • Provide general administrative support, including preparing documents, responding to inquiries, and assisting with operational tasks as needed to ensure continuity across programs.
  • This is a 35-hour per week position. Occasional evening hours may be required to support Center activities and events.
What We're Looking For:
Basic Requirements:
Knowledge and experience typically acquired by:
  • High School Diploma or GED
  • 3-5 years of administrative support experience, preferably in a university or similar organizational setting
  • Experience supporting financial processes such as reimbursements, purchasing, or expense tracking
  • Strong proficiency with Microsoft Office and general administrative systems
  • Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail
  • Demonstrated ability to handle confidential or sensitive information with discretion
Preferred Qualifications:
  • Bachelor's Degree
  • Demonstrated commitment to promoting exposure to diverse perspectives and facilitating rigorous, civil, and respectful engagement across differences on complex or contested issues
  • Familiarity with university systems such as PeopleSoft, Kuali, eServe, Apptricity, or similar financial and HR platforms
  • Experience supporting hiring and onboarding processes
  • Strong interpersonal and communication skills, with the ability to work effectively across diverse constituencies
  • Ability to adapt to evolving priorities in a dynamic environment
Salary Range: Minimum $27.30, Midpoint $32.50, Maximum $37.70
