Administrative Coordinator II

Join The Arc Columbia-Saratoga as an Administrative Coordinator II and play an important role in supporting our agency's leadership and daily operations. In this position, you'll provide administrative and operational support to the CEO, CFO, Board of Directors, and Leadership Team while assisting with Finance and other agency functions. Position Details

Location: Mellenville, NY

Schedule: Monday-Friday, 8:00 AM-4:30 PM (30-minute unpaid lunch). Occasional evening meetings required.

Hours: 40 hours per week

Pay Rate: $25.00 per hour

Key Responsibilities

• Provide administrative support to the CEO, CFO, and Leadership Team, including correspondence, reports, scheduling, and recordkeeping.
• Coordinate Board of Directors and committee meetings, including agendas, meeting materials, minutes, and required documentation.
• Prepare and distribute Board reports and assist with tracking contracts, approvals, and agreements.
• Coordinate meetings, conferences, training registrations, and other professional activities for agency leadership.
• Assist with purchasing, purchase orders, office supplies, and general administrative operations.
• Track agency property lease agreements, consultant agreements, renewals, and important deadlines.
• Provide administrative support to the Finance Department, Benefits Specialist, and Self-Direction program.
• Assist with Recreation Committee funding requests, grant reporting, and related financial documentation.
• Prepare Representative Payee reports and assist with Social Security reviews and audits.
• Maintain and organize Medicare, Medicaid, SNAP, and other benefit-related records and documentation.
• Communicate professionally with agency leadership, Board members, employees, vendors, and community partners.
• Maintain accurate, confidential records and ensure timely follow-up on administrative responsibilities.
• Assist with special projects and other administrative activities as needed.

Requirements

• Associate's degree and five years of combined secretarial and supervisory experience; or
• An equivalent combination of education and experience that provides the required knowledge, skills, and abilities.
• Strong organizational, administrative, and time-management skills.
• Excellent written and verbal communication skills.
• Proficiency with computers, electronic records, and office applications.
• Ability to manage multiple priorities, meet deadlines, and maintain accurate records.
• Strong attention to detail, sound judgment, and problem-solving skills.
• Ability to handle confidential and sensitive information professionally.
• Ability to work independently and collaboratively with agency leadership and staff.
