Job Description

The Peabody Essex Museums Learning & Community Engagement Department is seeking a highly organized, proactive, and collaborative Administrative Coordinator to support the Director and help bring the departments programs, performances, and projects to life. Reporting to the Director of Learning & Community Engagement, this position plays a vital role in coordinating departmental operations, managing complex administrative systems, and ensuring the accurate and timely execution of key responsibilities. This is an exciting opportunity for a detail-oriented problem solver who thrives in a dynamic, fast-paced environment and enjoys bringing people, processes, and projects together. The Administrative Coordinator serves as a central point of communication for internal and external stakeholders, helping ensure that schedules, deadlines, contracts, budgets, and logistics stay on track. From coordinating calendars and booking event spaces to processing expenses, managing departmental timelines, and supporting program planning, this role helps create the structure and momentum that allow the departments work to flourish. Success in this position requires exceptional organizational skills, sound judgment, and the ability to balance competing priorities with grace under pressure. The ideal candidate is adaptable, resourceful, and comfortable navigating changing circumstances, anticipating challenges, and developing creative solutions. They will take an active role in coordinating departmental processes, maintaining essential tracking tools and systems, supporting staff onboarding, and facilitating effective communication and collaboration across teams. The Administrative Coordinator will have the opportunity to exercise independent judgment in coordinating schedules for the Director of Learning & Community Engagement, managing department deadlines, organizing departmental workflows, and determining effective approaches to administrative processes. Strong communication skills and proficiency with Microsoft Office, email, and Google Calendar are essential; experience with EventPro or other space-management platforms is preferred. Occasional evening and weekend work is required to support departmental programming and events.
