Administrative Office Coordinator

Location: Havertown, PA
Pay: $20.00 per hour
Schedule: Monday through Friday | 8:30 AM – 4:30 PM

Position Summary

High Focus Centers is seeking a detail-oriented and customer-focused Administrative Office Coordinator to support the daily operations of our Havertown outpatient office. This role serves as the first point of contact for clients, visitors, and providers while ensuring the efficient coordination of administrative functions that support our clinical and psychiatric teams. The ideal candidate is organized, professional, and thrives in a fast-paced healthcare environment.

Responsibilities

• Greet clients and visitors while providing exceptional customer service and front desk support
• Answer and direct incoming phone calls in a professional and courteous manner
• Provide administrative support to psychiatric providers and clinical staff
• Prepare patient charts, collect copays, and assist with patient check-in/check-out
• Schedule appointments and coordinate medical records requests
• Maintain accurate clinical and administrative records in accordance with company policies
• Monitor and coordinate office equipment maintenance as needed
• Order office supplies and maintain inventory levels
• Manage petty cash and prepare weekly bank deposits
• Perform additional administrative duties to support the overall operation of the office

Qualifications

• High school diploma or equivalent required
• Previous administrative, receptionist, or medical office experience preferred
• Strong attention to detail with excellent organizational and data entry skills
• Excellent customer service, communication, and interpersonal skills
• Ability to work collaboratively with providers, clinicians, and administrative staff
• Strong problem-solving and decision-making abilities
• Proficiency with Microsoft Office and electronic medical records (EMR) systems is a plus
• Ability to multitask and prioritize responsibilities in a fast-paced environment
