Position Overview

Primary Purpose of Position

To serve as administrative support to the Director of the School of Nursing and to provide clerical and administrative support to all matters related to the Director's Office. The duties and responsibilities could include but not limited to; providing professional support and customer service to clients, students, faculty and/or staff, assist with clerical and administrative duties, answer and transfer calls, compose written materials (such as memos, emails, agendas or minutes from meetings), banner processing, order office supplies, and other duties assigned by the Supervisor.

Primary Function of Organizational Unit

The John R. and Kathy R. Hairston College of Health and Human Sciences (HCHHS) comprises six departments and the School of Nursing. The HCHHS offers the following undergraduate degree programs; Communication Sciences and Disorders, Health Services Management, Kinesiology, Nursing, Psychology, and Social Work, Sociology. At the graduate level, HCHHS offers four graduate degree programs including the Masters in Physician Assistant Studies (PA program), Master of Social Work (MSW), Master of Science in Health Psychology and PhD in Social Work. Three additional doctoral programs being are being developed; Doctor of Nurse practice (DNP), PhD in Applied Psychology, and PhD in Sociology. The HCHHS is also home to the Center of Excellence in Integrative Health Disparities and Equity Research (CIHDER), a hub for multidisciplinary research and community engagement efforts to alleviate health inequities. The HCHHS capitalizes on the synergistic relationships between these departments to develop advanced academic health science programming, enhance the training of healthcare practitioners, and conduct collaborative multidisciplinary research and scholastic activity.

The School of Nursing is dedicated to equipping individuals for the nursing profession, ensuring they possess the essential skills and knowledge for quality, safe, patient-centered care. Our comprehensive program offerings include traditional bachelor of science in nursing (BSN) tracks, Accelerated Bachelor of Science in Nursing (ABSN), and RN to BSN pathways, catering to different ranges of educational needs. Work Hours 8:00 AM - 5:00 PM; Monday - Friday Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)

Key Responsibilities and Related Competencies

Required Competency Communication - Verbal/Written Duties

• Applies knowledge of programs, policies and procedures to interpret and communicate information to meet specific needs of staff and clients.
• Demonstrates the ability to work with confidential and sensitive information.
• Composes letters, memos and reports requiring research and presents data accurately to support findings.
• Reviews sensitive materials and edits content constructively.
• Schedules and arranges appointments for the Director to meet with various organizations and committees on the University, State, National, and International levels.
• Provides authorized information concerning a task force or issue with which the Director is working.
• Corrects information given to the public regarding the faculty and staff based on School of Nursing guidelines.
• Answers incoming telephone calls regarding School of Nursing director, faculty and staff.
• Serves as contact for students regarding appointments with the Director and School of Nursing information.
• Serves as contact on university-wide, international, national, and state levels i.e. Offices of the Chancellor, Provost/Vice Chancellor for Academic Affairs, Vice Chancellor Business and Finance, university colleges, divisions, department chairs and deans, American Nurses Association, North Carolina State Board of Nursing and North Carolina Nurses Association.

Required Competency Office Technology Duties

• Integrates varying software or learns new computer applications to meet unique work needs.
• Serves as a resource for others on a variety of subjects including office equipment, software applications, and information processing procedures.
• Uses computer, printer, copier, fax machine, and other office equipment that are needed for typing, copying, scanning, and sending outgoing correspondence and compiling reports.

Required Competency Information/Records Administration Duties

• Utilizes, reconciles, and manipulates data for management reports from different internal and external sources.
• Applies an understanding of the information in order to extrapolate key data elements.
• Types and assembles the data and other report information together for draft and final report, proofreading, making appropriate copies to the Office of Academic Affairs and filing the school's copy of the report i.e. annual report.
• Researches, types, compiles, and assembles the data and information as required by the guidelines from the North Carolina Board of Nursing Program Descriptive Report (PDR) and the Accreditation Commission for Education in Nursing Self-Study Report.
• Composes, types, and drafts monthly faculty meeting minutes and agenda; email them to faculty before next monthly meeting.
• Maintains files of all nursing program contracts and partnership agreements and legal documents.

Required Competency Work Coordination Duties

• Facilitates flow of work throughout a dynamic work unit.
• Coordinates and directs the office support activities and manages a wide variety of records, reports, and files.
• Coordinates activities related to faculty orientation, evaluation, and development; documents as required.
• Serves as backup support personnel in the absence of other staff members, assists students whenever possible, aids in getting students and prospective students correct information.
• Coordinates and support Friends of Nursing Advisory Board.

Required Competency Problem Solving Duties

• Resolves and/or develops recommendations for unprecedented issues and problems.
• Serves as a resource for others in resolving unprecedented non-standard issues and problems.
