    One or two days in the office a month as a team with the following schedule: M-F 8:00AM-5:00PM and otherwise as needed based on effectively engaging partners and colleagues.

    The Associate Director is responsible for the management and operations for all estate and trust administration activity, planned and complex gift administration, events, and other key operational functions for the Office of Planned Giving at Dartmouth Health and the Geisel School of Medicine. Reporting to the Director, Planned Giving, the Associate Director will advise frontline fundraising colleagues and leadership on outreach and stewardship to donors, executors, and advisors.

    The Associate Director will also manage a comprehensive marketing program to increase planned gifts to Dartmouth Health and the Geisel School of Medicine. The Associate Director will develop a strategy for and implement an annual calendar of print and digital appeals, including website administration.

    The Associate Director will serve as a key partner to all planned giving allied professionals, including attorneys, financial administrators, trustees, and philanthropic partners. The Associate Director will develop a program to build relationships with planned giving allied professionals and will be the primary contact responding to client inquiries. These partnerships will focus on educating local wealth advisors on DHMC and system member philanthropic priorities to help their clients make decisions on where their philanthropy could positively impact the community.

    Experience

    • 5+ years of related professional experience in non-profit fundraising
    • Demonstrated experience in planned giving, with experience in estate law preferred.
    • Demonstrated project management experience.

    • Excellent project management skills, with proven ability to manage multiple projects simultaneously, to set priorities, follow through on projects, and meet deadlines.

    • Ability to handle sensitive and confidential information with discretion; understand and follow HIPAA guidelines
    • Demonstrated planning, organizational, analytical, and problem-solving skills.
    • Strong writing and editing skills
    • Ability to both work independently and to interact and collaborate effectively with a wide range of individuals and groups.
    • Expertise in Microsoft Office applications, Web-based software applications, and fundraising CRMs; RE NXT preferred

    Key Accountabilities

    Description

    Operations

    • Prepare, proof, and execute gift calculations, bequest and trust language, and participate in planned gift discussions with frontline staff and advisors.
    • Draft and maintain suggested bequest language templates and planned gift agreements for frontline officers.
    • Advise fundraisers on planned gift strategies and administration to aid in the solicitation of planned gifts.
    • Serve as a secondary point of contact for establishing new life income gift arrangements, such as charitable gift annuities, pooled income funds, and charitable trusts.
    • Communicate with life income gift recipients in connection with their accounts, e.g. change of address, bank info, new beneficiary information. Manage the annual tax reporting process.
    • Act as the primary lead in maintaining and ensuring data, donor information, and gift details are accurate and up-to-date in both the electronic database and physical hard file, while ensuring compliance with organizational procedures and financial and legal requirements.
    • Serve as an advisor for Dartmouth Health member hospitals as they facilitate planned gifts to their respective institutions.
    • Engage appropriately, respectfully, and collaboratively with colleagues internally and across Dartmouth Health and the Geisel School of Medicine at Dartmouth
    • Proactively participate in professional development opportunities to increase understanding of planned and complex gifts.

    Percentage Of Time 35% Description

    Trust and Estate Administration

    • Independently manage a portfolio of active estates and trusts scheduled to make a distribution to the Geisel School of Medicine, Dartmouth Health, and Dartmouth Health member hospitals over a 12-18-month cycle, as well as select donors and allied professionals.
    • Coordinate with attorneys, trust officers, and estate executors to move estates through the probate, distribution, and settlement process in a timely manner
    • Function as a point person for filing claims for inherited IRAs and other accounts, including regular follow-up with institutions.
    • Manage planned giving acknowledgments and thank you notes to ensure that executors or family members are thanked on a timely basis.
    • Oversee management of estate files and establish action plans for each open estate.
    • Attend regular office-wide meetings and regularly update and report on the active trust and estate pipeline. Carry out assigned action items or follow-up tasks in a timely manner.
    • Serve as an advisor and administrator for Dartmouth Health member hospitals, facilitating trust and estate distributions to their respective institutions.

    Marketing & Communications

    • Works independently and with partners to implement a robust marketing program for the Geisel School of Medicine, Dartmouth Health, and Dartmouth Health member hospitals.
    • Develop a strategy and implement an annual calendar of planned giving appeals for the Geisel School of Medicine and Dartmouth Health.
    • In concert with Dartmouth Health member hospital fundraising staff, develop a strategy and implement an annual calendar of planned giving appeals for their respective programs.
    • Works with Geisel School of Medicine, Dartmouth Health, and Dartmouth Health member hospitals' communications staff and outside vendors to oversee the design, printing, production, and mailing of print and digital appeals in an accurate and timely fashion.
    • Coordinates multi-channel marketing campaigns that integrate electronic communications and direct mail appeals.
    • Monitors production schedules and project timelines.
    • Coordinates with Geisel School of Medicine, Dartmouth Health, and Dartmouth Health member hospitals' communications staff to ensure consistency with institutional messaging and branding. Monitors leadership messaging, institutional news, and stories, and stays abreast of institutional initiatives.
    • Partners with outside vendors to analyze responses to appeals and ROI. Analyzes and summarizes data and reports on this information regularly, recommending changes in strategy as indicated by appeal results.
    • Actively manages Geisel School of Medicine, Dartmouth Health, and Dartmouth Health member hospital websites, collaborating with key vendors and internal staff on routine web management.

    Event Management

    Plan the annual legacy society event to steward existing planned gift donors and to solicit new donors.

    In partnership with Events, execute all logistical aspects of the annual legacy society event, including but not limited to event communications, run of show, planning, menu, and staffing.

    Create a robust events program for legacy society members by inviting donors to attend Medical & Healthcare Advancement events, Dartmouth College events, and Dartmouth Health member hospital events.

    Identify opportunities to increase stewardship and cultivation events for planned giving donors.

    Planned Giving Allied Professionals Program

    • Create a network of estate planning professionals, financial planners, accountants, tax advisers, insurance professionals, investment managers, and trust officers.
    • Develop a strategic communication plan to notify allied professionals of institutional updates and areas of support for their prospective clients.
    • Act as the primary fundraiser responding to planned giving allied professionals requesting information for their clients.
    • Plan an annual allied professionals event to serve as a networking event.
