What You’ll Do
This role sits at the center of our Communities Delivery team, supporting both resourcing/staffing and project coordination across a ~70-person team.
This is a high-volume, execution-focused role. You will own day-to-day staffing coordination and play a key role in keeping projects organized and moving forward internally across enterprise client account teams.
The salary range for this position is $60,000–$75,000. If this range is not the right fit, please consider our other openings.
Responsibilities
Resourcing & Staffing (Communities Delivery) – 75%
- Own day-to-day staffing coordination across multiple client teams, ensuring the right people are allocated to the right work.
- Identify available resources, propose solutions to staffing gaps, and proactively enable and coordinate staffing shifts by working directly with team members and leaders.
- Partner with leadership to support decisions that balance client and employee needs, team capacity, and business priorities(e.g., revenue goals, margin improvement strategies, and growth priorities).
- Oversee freelancer coordination, including assignments, budget tracking, and performance feedback in partnership with leadership.
- Maintain accurate trackers for hours, budgets, and margins with exceptional attention to detail.
- Identify, test, and implement process improvements and new systems to enhance efficiency and effectiveness in staffing and coordination.
- Handle confidential staffing and performance information with discretion.
Project Management (Communities Delivery Client Teams) – 25%
- Support internal project teams by coordinating timelines, deliverables, and team communication.
- Track project timelines, budgets, and other key documentation; help ensure projects stay on track by monitoring progress, flagging risks, and following up on next steps.
- Assist with project setup, resourcing alignment, and onboarding of new team members.
- Anticipate roadblocks and support project leads in proactively adjusting plans to meet client deadlines as priorities shift.
- Identify efficiencies and opportunities for improvement in how the team collaborates internally and with other parts of the business (including client teams, sales, and operational partners).
Qualifications
- 1-3 years of experience in coordination-heavy roles, such as staffing/resource coordination, traffic management (agency), or project coordination or executive support in a fast-paced professional services environment.
- Demonstrated ability to manage a high volume of work (multiple projects, stakeholders, and deadlines simultaneously).
- Strong attention to detail and rigor in maintaining accurate, up-to-date data and documentation.
- Excellent judgment in knowing when to act independently vs. when to escalate.
- Strong verbal and written communication skills: clear, confident, and adaptable for different audiences, both internal and external.
- Comfortable using multiple communication platforms: phone, video, in-person, chat, email, SharePoint.
- Ability to multitask and manage competing priorities, make informed trade-offs, and communicate decisions effectively.
- Energized by problem-solving and working in a fast-paced environment where priorities shift regularly.
- Experience with project management or resource management software is beneficial but not required; willingness to learn is key.
