POSITION: Secondary Campus Operations Coordinator - Recruitment and Enrollment

 

REPORTS TO: Director of Campus Operations

 

POSITION TYPE: 12-month

 

START DATE: 26-27 School Year

 

COMPENSATION:$19.86 - $23.27 per hour

THE ROLE

When you join the YES Prep team, some of the work and responsibilities will include:

Campus maintains or is above enrollment

  • Creating and leading recruitment and enrollment efforts for your campus, acting as liaison between campus personnel and Home Office on all lottery-related issues;
  • Offer seats in a timely manner and make all efforts to ensure campus is at enrollment year around
  • Monitor progress towards goals and make meaningful and timely adjustments in order to meet recruitment benchmarks
  • Ensure all new families are effectively engagedfrom the time they apply with ongoing communication and cultivation through registration and the first day of school
  • Ensuring compliance with all state, federal and organizational policies and procedures with regards to student data;
  • Lead the work of ensuring 100% of new students and families receive high quality on-boarding

 

Recruitment events happen with fidelity and application management responsibilities are completed by the deadline

  • Create a campus specific recruitment strategy and coordinate all recruitment efforts
  • Execute student recruitment strategies that target families with school-aged children within a 5-mile radius of the assigned campus
  • Maintain and cultivate a solid waitlist after lottery by providing communication and sustained recruitment efforts
  • Build community connections by attending community events, fairs, tabling events and getting to know the community on regular basis
  • Monitor quality of applications submitted and mark eligible in a timely manner

 

Student classrooms have teacher coverage 100% of the time

  • Supporting the Director of Campus Operations with securing internal and external coverage for all staff on PTO;
  • Communicating to all stakeholders the expectations of their coverage assignment.
  • Creating a system and materials for all guest teachers on campus;

 

The front office service quality score on the campus blueprint will be an A

  • Ensure all locations on campus are free of clutter and well organized, ready to receive visitors;
  • Assisting with coverage of front desk as needed during the school year and through summer programming, including warmly greeting and assisting all visitors, answering and processing all incoming calls in an efficient and rapid manner, signing in/out students;
  • Overseeing daily administrative operations and resolving problems related to day-to-day operations of the Front Office;
  • Assisting in maintaining office security: I.D. badges provided to all employees and students;

 

98% of Annual Enrollment forms are submitted and approved

  • Checking and reviewing a variety of data for accuracy, completeness, and conformance to established standards and procedures;
  • Supporting with a strong strategy to market, follow up and track annual enrollment forms for all students

 

Campus Safety is prioritized 100% of the time

  • Taking all necessary and reasonable precautions to protect students, equipment, materials, and facilities;
  • Assisting the Director of Campus Operations with monthly safety drills and support personnel in an emergency

 

Execute positive internal and external communication

  • Serve as point of contact for daily facilities and custodial needs on campus
  • Assisting the Director of Campus Operations with the supervision of the school’s auxiliary services and communicating any adjustments needed– transportation, child nutrition, and vendor relationships;
  • Conduct bus audits, share bus routes and communicate with parents any transportation changes.
  • Processing approved event requests, collaborating with the event host and coordinating all logistics for successful execution

 

Specific measurable system implementation

  • Thinking strategically about operational systems and providing recommendations for increased efficiency, staff satisfaction and preserving data integrity; 
  • Assisting the Director of Campus Operationswith the set up of courses, staffing and locations of the master schedule in both excel and Skyward;
  • Be familiar with how to read and audit student schedules;
  • Additional duties as assigned.

  • Compensation – This position is an non-exempt, hourly position; salary offers commensurate with experience.
