Our client is a rapidly growing financial services and fintech organization with a significant presence in the global markets sector. The company operates in a fast-paced, collaborative environment and is expanding its operational footprint, creating an opportunity for an experienced administrative professional to play a key role in supporting office operations and leadership initiatives.
Serve as a primary point of contact for office administration and operational matters. Manage day-to-day office activities to ensure an efficient and professional workplace. Provide executive support, including expense management and administrative assistance for senior leadership. Support office expansion, relocation, and workplace planning initiatives. Coordinate vendors, facilities services, office supplies, and external service providers. Review and process invoices and maintain accurate administrative records. Assist with budget tracking and office-related expenditures. Provide guidance and coordination for office support staff and administrative team members. Partner with internal stakeholders to support operational projects and business initiatives. Provide reception coverage when needed, although this is not primarily a reception role. Support ad hoc administrative and operational projects as required.
A successful Office Admin should have: Fluent in both Mandarin Chinese and English, with strong verbal and written communication skills. Previous experience in office administration, office management, workplace operations, executive support, or a related function. Highly organized with the ability to manage multiple priorities and deadlines. Comfortable working with senior executives and cross-functional teams. Demonstrated ability to coordinate projects and oversee administrative processes. Strong attention to detail and follow-through. Proficient in Microsoft Office Suite and standard business systems. Previous supervisory or team coordination experience is highly desirable. Bachelor's degree not required; relevant experience and capability are valued.
Competitive salary of $65,000-$70,000. Contract to hire opportunity. Monday-Friday schedule (9:00 AM-6:00 PM). Opportunity to work closely with senior leadership and key business stakeholders.
