Job Summary:
The Billing Specialist II is responsible for managing and processing billing transactions, ensuring accuracy and compliance with company policies. This role handles complex invoicing activities, resolves billing discrepancies, maintains accurate financial records, and supports reporting and collections efforts. The Billing Specialist II works closely with finance, sales, and customer service teams to improve billing processes, support operational efficiency, and ensure a high level of customer service.
Key Responsibilities:
+ Generate, review, and process invoices accurately and in a timely manner.
+ Verify billing information, including pricing, discounts, taxes, and contract terms.
+ Ensure all billing transactions comply with company policies, customer agreements, and financial requirements.
+ Perform account reconciliations to identify, investigate, and resolve billing discrepancies.
+ Maintain accurate billing records and documentation within financial and ERP systems.
+ Assist in preparing reports related to billing activity, outstanding balances, revenue tracking, and billing trends.
+ Respond to customer billing inquiries and resolve disputes professionally and efficiently.
+ Partner with finance, sales, customer service, and other internal teams to resolve billing issues and support customer needs.
+ Support collections efforts by providing accurate billing documentation and account information.
+ Identify opportunities to improve billing processes and implement efficiency enhancements.
+ Ensure compliance with financial regulations, tax requirements, and company policies.
+ Support billing system upgrades, automation initiatives, and workflow improvements.
Qualifications:
+ Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
+ Minimum 2 years of experience in billing, accounts receivable, financial operations, or a related role.
+ Experience processing invoices, maintaining billing records, and reconciling accounts.
+ Proficiency with ERP systems such as SAP, Oracle, NetSuite, or similar financial software.
+ Strong Microsoft Excel skills and experience working with billing and financial systems.
+ Knowledge of billing processes, accounts receivable functions, and financial reporting.
+ Ability to analyze billing discrepancies and resolve issues effectively.
+ Strong attention to detail, accuracy, organizational skills, and problem-solving abilities.
+ Effective written and verbal communication skills with the ability to collaborate across departments.
+ Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
+ Experience handling complex billing scenarios or high-volume transaction processing preferred.
+ Knowledge of revenue recognition principles and contract-based billing preferred.
+ Experience with automated billing systems and digital invoicing solutions preferred.
